Job Description

Role Summary

To provide administrative and operational support to the Purchasing and Supply Chain Department by coordinating purchasing activities, processing purchase orders, maintaining procurement records, and following up with suppliers to ensure the timely availability of goods and materials required for business operations.

Key Responsibilities

  • Assist in preparing, processing, and tracking purchase orders and purchase requests.
  • Coordinate with suppliers to obtain quotations, confirm pricing, and follow up on delivery schedules.
  • Maintain accurate and up-to-date purchasing records, supplier information, and procurement documentation.
  • Monitor order status and delivery timelines to ensure the timely receipt of goods and materials.
  • Coordinate with internal departments to confirm purchasing requirements and material availability.
  • Support the preparation of purchasing reports and maintain procurement trackers.
  • Assist in verifying supplier invoices, delivery notes, and other purchasing-related documents.
  • Ensure purchasing activities comply with company policies and established procedures.
  • Perform general administrative duties to support the efficient operation of the Purchasing and Supply Chain Department.

Qualifications, Skills and Experience

  • Diploma or Bachelor's Degree in Supply Chain Management, Business Administration, Procurement, Logistics, or a related field.
  • Minimum of 1–2 years of experience in purchasing, procurement administration, supply chain, or a similar clerical role.
  • Proficiency in Microsoft Office applications, particularly Excel, and familiarity with ERP or procurement systems is an advantage.
  • Strong organizational and administrative skills, attention to detail, effective communication, follow-up skills, and the ability to manage multiple tasks efficiently.
