Responsibilities consist of both heavy administrative and project work.

Specific responsibilities include:

• Support supervisor in all facets of their daily work: calendar management and scheduling; phone, email, letters, memos, and other written correspondence; research on a variety of subjects; understanding of key toolsets (Muck Rack, Power BI, Microsoft Teams); handling mailings; other clerical support (notes, memos, etc.); event planning
• Coordinate internal and external communications efforts, including agent and author calls, meetings with key media contacts and event venues, and more
• Develop and write press releases, pitch letters, author Q&As, and press kits
• Identify key audiences on a title-by-title basis, develop targeted mailing lists, and execute galley mailings
• Contact with agents, authors, booksellers, and media
• Coordination of publicity campaigns
• Assist with planning for book tours, media outreach, detailed itineraries, and author travel
• Manage a variety of departmental tasks including but not limited to managing budgets, award submissions, monthly Amex coding and payments, managing deadlines and internal documents and information for divisional and sales meetings, etc.

• Extremely professional manner and the ability to work well under pressure and meet tight deadlines while interacting with internal and external stakeholders via phone, email and Microsoft Teams, Zoom, etc.
• Ability to read on deadline
• A bility to prioritize and manage multiple tasks
• Proficiency in Excel, PowerPoint, Word required
• Self-starter with the ability to develop new projects and departmental initiatives
• Proactive approach to problem-solving
• Strong interest in the book publishing industry
• Fluent in digital technology and possesses a keen interest in media
• A goal-oriented team player who can cultivate productive working relationships with internal and external stakeholders
• Proficiency in creative problem solving, decision making, and time management
• Previous administrative experience a plus
• Book Publishing or Publicity/PR internship or experience a plus but not required

The salary for this position is $51,000.00. All positions are currently eligible for an annual profit award or bonus, subject to company results.  

This is a hybrid position (3-4 days per week) with in-office responsibilities. We will consider candidates who can work from a commutable distance to our offices at 1745 Broadway, which includes the tri-state area (NJ, CT, & PA).
