
We are seeking a highly organized and detail-oriented Administrative Assistant with property management experience to provide comprehensive administrative and clerical support to the management team. This role is critical to ensuring efficient daily office operations and delivering exceptional service to residents, vendors, and board members. The ideal candidate is professional, proactive, and capable of managing multiple priorities in a fast-paced environment.
Answer phones, respond to emails, and professionally greet residents, board members, vendors, and visitors
Provide administrative support to the Property Manager and management team
Maintain accurate resident records, files, and databases
Assist with the preparation and distribution of notices, correspondence, and meeting materials
Schedule meetings, appointments, inspections, and maintenance access
Process and track work orders, service requests, and vendor invoices
Maintain office supplies, records, and equipment inventory
Assist with compliance tracking, including licenses, insurance certificates, and contracts
Prepare reports, spreadsheets, and general correspondence
Support board meetings, elections, and association communications
Coordinate with vendors, residents, and internal departments as needed
Handle sensitive and confidential information with discretion
Perform additional administrative duties as assigned
