Job Description

We are seeking a highly organized and detail-oriented Proposal Development Specialist to join our Building Services team in our Vaughan office and be an integral part of delivering continued success within this department.

The Proposal Development Specialist is responsible for leading and supporting the full proposal and pursuit lifecycle while actively contributing to client strategy and business development initiatives.

Duties and Responsibilities:

  • Proposal Management: Coordinate and proposal preparation, review, and submission of high-quality proposals, ensuring compliance with RFP requirements, deadlines, and organizational standards with final approvals provided by leadership.
  • Strategic Contribution: Contribute input and analysis to pursuit planning, leadership-led go/no-go decision processes, win strategy sessions, and client-focused discussions to support business growth.
  • Client Engagement: Support client-facing business reviews and post-submission debriefs, as part of the pursuit or account team and contributing actionable insights.
  • Cross-Functional Collaboration: Work closely with operations, engineering, project management, and account teams to gather inputs, coordinate responses, and align on .
  • Process Improvement: Identify and opportunities to enhance proposal quality, efficiency, and success rates, including lessons learned and knowledge sharing across the organization.
  • Communication: Serve as a clear and consistent point of contact for internal teams and clients regarding proposal-related items, ensuring all stakeholders are informed of deadlines, updates, and critical information.
  • Compliance and Quality Assurance: Ensure all proposals and client communications comply with legal, contractual, and internal governance standards.

Must haves:

  • Post-secondary education in Business, Marketing, Communications, Engineering, or a related field, or equivalent professional experience demonstrating successful proposal development, client engagement, and business development responsibilities
  • 3-5 years of experience in proposal writing, pursuits, or business development within construction, building services, engineering, or technical services
  • Demonstrated experience coordinating the full proposal lifecycle, including RFP analysis, compliance, coordination, and submission
  • Proven ability to contribute input and support strategic discussions, win-strategy sessions, and go/no-go decisions
  • Experience preparing for and participating in client business reviews and post-award or post-loss debriefs as part of the team
  • Strong understanding of RFP compliance requirements, procurement portals, and submission protocols
  • Excellent written and verbal communication skills, with the ability to engage confidently with senior leadership and clients
  • Strong organizational skills with the ability to manage multiple concurrent pursuits and competing deadlines
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and proposal management tools

Nice to haves:

  • Experience in HVAC, mechanical, electrical, or integrated building services environments
  • Familiarity with formal proposal governance frameworks
  • Experience supporting business development activities, market positioning, or client account planning
  • Experience facilitating or documenting lessons learned and continuous improvement initiatives

This is a new position. Expected annual compensation; $60,000 - $70,000
