As a Proposal Coordinator, you will work closely with proposal managers to prepare responses to Requests for Proposals (RFPs), Requests for Information (RFIs), and Requests for Qualifications (RFQs).
Key Responsibilities
Administrative Support
Review and suggest improvements to sales documents (proposals, letters, presentations, etc.)
Assemble and format documents for proposals and tenders
Maintain the proposal team’s intranet (Dynamics O365 and SharePoint)
Organize and update electronic and paper filing systems for sales documentation and templates
Proposal Coordination
Download and translate proposal documents as needed using translation tools
Assist in drafting responses tailored to each market (summary, language, requirements)
Prepare corporate and administrative sections of proposals
Conduct detailed research to support proposal content
Manage certain RFI and RFQ responses with guidance from proposal managers
Prepare proposals for existing clients using pre-defined templates
Occasionally draft maintenance renewal letters
College or university degree in a relevant field
3–5 years of related experience
Strong planning, organizational, and attention-to-detail skills
Ability to manage multiple tasks under tight deadlines
Customer-focused mindset (internal and external)
Excellent writing skills in French and English (regular English writing required)
High level of autonomy and initiative
Proficiency in Microsoft Office
Familiarity with proposal tools such as Responsive.io or Loopio (asset)
Fluency in French and English; additional languages are an asset
