Location: Hybrid - Warsaw
Department: Proposal, Budget & Contracts (PBC)

About the Role

We are looking for a Proposal Budget & Contracts Specialist I to join our growing team. In this role, you will manage proposal, budget, and contract activities across the clinical trial lifecycle, supporting both pre-award and post-award opportunities.

Working closely with Business Development, Therapeutic Strategy, Project Management, and other cross-functional teams, you will play a key role in developing high-quality proposals, preparing budgets, coordinating contracts, and ensuring a seamless transition from bid to project delivery.

This is an excellent opportunity for someone with experience in the pharmaceutical, CRO, or clinical research industry who enjoys working in a collaborative, fast-paced environment.

Key Responsibilities

  • Manage assigned opportunities from RFI/RFP through proposal, budget, bid defence, contract execution, and change orders.
  • Review client requirements and coordinate cross-functional input to deliver high-quality, client-focused proposals.
  • Prepare compelling proposal documents and presentations that effectively communicate Novotech's value proposition.
  • Develop study budgets and change orders using internal pricing tools and coordinate vendor quotations where required.
  • Prepare, review, and manage client contracts, ensuring compliance with company procedures and timelines.
  • Coordinate opportunity handover to Operations following contract execution.
  • Build strong relationships with internal stakeholders, vendors, and clients to ensure successful project delivery.
  • Maintain accurate documentation within systems including Salesforce, Ironclad, and SharePoint.
  • Contribute to process improvements, knowledge sharing, and mentoring activities.

About You

You are a highly organized and detail-oriented professional who enjoys managing multiple priorities and collaborating with diverse stakeholders. You have strong communication skills, a commercial mindset, and a passion for delivering high-quality client solutions.

Qualifications & Experience

  • Bachelor's degree in Life Sciences, Clinical Research, Pharmacy, Biomedical Sciences, or a related discipline.
  • Minimum 2 years' experience within a CRO, pharmaceutical, biotechnology, or clinical research environment.
  • Experience preparing proposals, budgets, contracts, or change orders is highly desirable.
  • Strong project coordination and stakeholder management skills.
  • Excellent written and verbal communication skills.
  • Advanced proficiency in Microsoft Excel, Word, and PowerPoint.
  • Experience with systems such as Salesforce, Ironclad, SharePoint, or similar platforms is an advantage.
