About the role

The Short Lets Property Manager will be responsible for the day-to-day management of Rettie’s short-let and festival-let portfolio, working closely with the Short Lets Business Development Manager. The role focuses on ensuring properties, guests and landlords receive a consistently high level of service while maintaining compliance with all relevant legislation and licensing requirements.

You will manage bookings, guest communications, property compliance, maintenance issues and operational processes to ensure the effective running of the portfolio. This will include supporting high standards across the portfolio and ensuring Rettie’s short-let properties remain well presented, compliant and competitive within the Edinburgh market.

This is an exciting time to join the short lets team. Over the next year, we will continue to build on our existing operating model while expanding our services with the support of a new operating platform. This creates real potential for growth within the role, both in terms of the portfolio and the opportunity to contribute to the development of the service as it evolves.

About you

We are looking for an organised and customer-focused individual with experience in property management, hospitality or customer service. You will have strong administrative skills, excellent attention to detail and the ability to manage multiple priorities in a busy operational environment. A full clean driving licence is essential.

You will be confident communicating with guests, landlords, contractors and colleagues, and will bring a practical, positive and solutions-focused approach to resolving issues. Knowledge of short-term let legislation, licensing requirements and the Edinburgh short-let market would be advantageous.

Key responsibilities

Property Management to manage the day-to-day operation of the short-let and festival-let portfolio, ensuring properties are well maintained, compliant and guest-ready.

  • Manage the day-to-day operation of the short-let and festival-let portfolio.
  • Coordinate guest arrivals and departures, including property inspections at the start and end of guest stays.
  • Oversee cleaning, linen and housekeeping arrangements.
  • Ensure properties remain compliant in line with licensing requirements.
  • Manage maintenance issues and contractor appointments.
  • Undertake annual property inspections and provide rental income projections aligned with any refurbishment works required.

Guest, Booking and Landlord Management to provide a consistently high level of service to guests and landlords, ensuring bookings, communications and expectations are managed effectively.

  • Handle booking enquiries and reservations.
  • Manage guest communications before, during and after stays.
  • Resolve guest issues and complaints promptly and professionally.
  • Encourage guest satisfaction and positive reviews.
  • Provide regular updates to landlords and manage landlord expectations and enquiries.
  • Assist landlords with matters relating to licensing and compliance.
  • Monitor property performance and occupancy levels.

Compliance, Administration and Operational Excellenceto ensure all compliance, administration and operational processes are managed accurately, efficiently and in line with Rettie standards.

  • Ensure all properties remain compliant with Short-Term Let Licensing requirements.
  • Monitor and manage safety certification renewals.
  • Handle Visitor Levy administration.
  • Prepare management reports and booking statements.
  • Process deposits, rental income and associated documentation.
  • Maintain accurate records across all management systems.
  • Support the implementation of new systems and technologies.
  • Identify efficiencies and improvements in operational processes and work collaboratively across the wider Rettie business.

Key requirements

Essential:

  • Full clean driving licence.
  • Experience in property management, hospitality or customer service.
  • Strong administrative and organisational skills.
  • Excellent attention to detail.
  • Knowledge of short-term let legislation and licensing requirements.
  • Proficient in Microsoft Office systems.

Desirable:

  • MARLA or equivalent qualification.
  • Experience managing a short-let portfolio.
  • Experience working with property management software.
  • Knowledge of the Edinburgh short-let market.
