Property Management Coordinator - Job Description Summary

The Property Management Coordinator oversees day-to-day operations of GAC properties, including maintenance delivery, subcontractor management, client interfaces, and regulatory compliance to maximize client satisfaction.

Key Responsibilities:

Building User Relations:

  • Respond promptly and professionally to inquiries, requests, and complaints
  • Develop and maintain positive relationships with building users
  • Resolve building issues, conflicts, and disputes effectively

Lease Administration:

  • Oversee lease activity and coordinate with the leasing team
  • Ensure lease deliverables are met through appropriate teams

Property Operations and Maintenance:

  • Oversee maintenance and repair activities via JLL's preferred supply partners
  • Develop preventative maintenance programs with the JLL Platform
  • Coordinate with external vendors and contractors
  • Conduct regular property inspections

Financial Management:

  • Support budget management, forecasting, and expense control
  • Review and approve property-related invoices

Compliance and Risk Management:

  • Ensure compliance with local laws, regulations, and building codes
  • Coordinate inspections, permits, and certifications
  • Ensure adherence to safety protocols and emergency preparedness

Reporting and Communication:

  • Generate periodic performance, financial, and maintenance reports
  • Support recommendations for improvements
  • Maintain clear communication with all stakeholders

Required Qualifications:

  • Bachelor's degree in Business Administration, Real Estate Management, or related field (preferred)
  • Proven experience as a Property Manager or similar role
  • Knowledge of property/facility management principles and local regulations
  • Strong interpersonal and communication skills
  • Excellent organizational and time management abilities
  • Financial analysis skills
  • Proficiency in property management software and MS Office Suite
