This is a shared services position that will serve in a team lead role for the Real Estate Records team. This position is responsible for the organization, development, and maintenance of all real estate records which deal with the leasing and management of real estate required for company operations for the entire AEP Network. This position coordinates, trains and audits the Real Estate Records team to work in conjunction with the Land Agents in their day-to-day responsibilities in the drafting, keeping and maintaining the real estate records to be added to the electronic database, while at the same time completing all the accounting functions associated with real estate records (deeds, leases, and easements).

What You'll Do:
Responsible for developing and maintaining all real estate records in an electronic real estate database dealing with the management of real estate required for company operations, including lease and rental payments/revenue, all related property records, and railroad permits for fee owned and leasehold assets.
Track lease data to provide internal and external benchmarks.
Provide and create reports to assist with planning and decision making.
Be the lead role in maintaining and deploying the electronic real estate database relating to AEP land and land rights.
This includes the proficient skill set to comprehend and apply the legal real estate documents in order to efficiently populate the various fields of the electronic real estate database.
Train and educate others within the department and Business Units of the electronic real estate database and help to establish, administer, and apply the data entry standards.
Maintain and organize property records, including deeds, leases, easements, maps, surveys, and all other legal real estate documents.
Coordinate processing of lease documents with Legal Department, Business Units, Accounting, and Real Estate Land Agents.
Coordinate the research of real estate records to compile reports necessary to create benchmarks to forecast and plan.
Answer customer inquiries relating to AEP land and land rights.
Create work orders and payment of invoices through the Company's accounting and recordkeeping systems (PeopleSoft).
Draft documents for rights of entry, contracts, easements, licenses, leases, permits, options to purchase, and other documents as may be necessary to acquire and dispose of adequate land rights.
Communicate and provide functional support to other AEP business units in regard to questions and procedures.
Maintain lease payment database, process lease payments/revenue, and provide information for monthly reports and annual budget.
Work with Accounting and Auditing to resolve departmental, land, and land rights accounting issues.
Work with the Supervisor in preparing and maintaining the Data Entry Standards Manual for the electronic real estate database.
Prepare and issue monthly project status management reports.
Assist in the preparation of annual departmental budget.
Real Estate Records Coordinator
Education/Experience: Associate degree or Paralegal Certificate and a minimum (3) three or more years of commercial real estate or commercial title examiner/abstractor, real estate or industry related experience.
(Or) High School Diploma and a minimum of (5) five or more years of commercial real estate or commercial title examiner/abstractor, real estate or industry related experience.
Certificate/License: Notary public (Preferred)

Has a solid understanding of real estate and the importance of accurate and detailed record keeping.
Attention to detail and proficient in multi-tasking.
Ability to handle large volume real estate transactions.
Ability to meet tight deadlines.
Ability to work independently and autonomously with minimal supervisor direction.
Excellent writing and communication skills.
Proficient Computer skills in Word and Excel.
