Property Executive / Property Officer – JLL

Candidates will be assigned to the appropriate level (Executive or Officer) based on their experience and qualifications.

What this job involves:

Join JLL as a Property Executive / Property Officer and take ownership of comprehensive property operations that ensure optimal performance and tenant satisfaction. In this pivotal role, you will oversee all facets of property management—from administration and operational efficiency to tenancy management and energy optimization. You'll be the key liaison between clients, tenants, vendors, and regulatory authorities, ensuring seamless day-to-day operations while identifying opportunities for cost savings and service improvements. This position offers the opportunity to make a tangible impact on property performance while building strong relationships across diverse stakeholders in a dynamic real estate environment.

What your day-to-day will look like:

  • Review and manage all incoming and outgoing correspondence, ensuring timely follow-up on complaints and action items, and prepare weekly/monthly meeting documents and reports
  • Conduct regular inspections of common areas, term contractor services (cleaning, pest control, fire protection, lifts), and common property to ensure maintenance standards meet Management and regulatory requirements
  • Monitor daily utilities consumption, detect irregularities, implement cost-saving measures, and manage energy efficiency initiatives across the property
  • Coordinate tenant move-ins and move-outs, respond to tenant needs, maintain positive relationships to achieve high retention levels, and liaise on repairs and fitting-out works
  • Prepare accurate and timely monthly performance reports, variance reports, annual budgets, and quarterly reforecasts; manage accounts payable including invoice processing and approval
  • Handle emergency situations including power failures, burst pipes, gas leaks, and structural damage by implementing established procedures and coordinating appropriate response teams
  • Review operational procedures, recommend improvements, supervise repairs and upgrading works, and ensure compliance with Building Construction Authority (BCA) requirements and other relevant regulations

Required Qualifications:

  • Proven experience in property management or facility management within the real estate sector
  • Strong knowledge of building operations, maintenance standards, and regulatory compliance requirements (BCA and other relevant authorities)
  • Demonstrated ability to manage budgets, prepare financial reports, and handle accounts payable processes
  • Excellent organizational and administrative skills with proficiency in preparing correspondence, reports, and meeting minutes
  • Strong vendor and stakeholder management capabilities with the ability to build positive relationships with clients, tenants, and contractors
  • Experience in utilities monitoring, energy management, and implementing cost-saving initiatives
  • Ability to handle emergency situations calmly and effectively, with strong problem-solving and decision-making skills

Preferred Qualifications:

  • Previous experience managing similar-sized commercial or mixed-use properties
  • Familiarity with operations management systems (OMS) and property management software
  • Knowledge of tenancy agreements, lease administration, and CAM (Common Area Maintenance) recovery charges
  • Understanding of fire protection systems, lift maintenance, pest control, and landscaping service standards
  • Experience in preparing submissions to regulatory authorities and maintaining warranty records
  • Strong analytical skills to identify trends in utilities consumption and operational inefficiencies
  • Professional certifications in property management, facility management, or related fields
