Job Description

Responsibilities

  • Supervise and lead the in-house maintenance team in the absence of the Facilities Manager or designated person-in-charge.
  • Manage and coordinate all soft services, including:
    • Cleaning Services
    • Pest Control
    • Landscaping
    • Reception Services
    • Event Management Support
    • Mailroom and Courier Services
    • Pantry and Office Supplies Management
    • Laundry Services
  • Support the inspection of Mechanical & Electrical (M&E) systems and facilities, and recommend improvement, repair, or rectification works to the Facilities Manager.
  • Source, obtain, and evaluate quotations from M&E and soft services contractors, including reviewing scope of work, specifications, and service requirements.
  • Coordinate and schedule preventive maintenance and servicing activities for soft services contractors.
  • Arrange and oversee routine inspections and maintenance activities performed by technicians during the absence of the Hard Services person-in-charge.
  • Conduct contractor and technician safety briefings and ensure compliance with site safety requirements during the absence of the Hard Services person-in-charge.
  • Maintain and update ISO 14001 and ISO 45001 documentation, and support internal and external audits.
  • Support the Environment, Health & Safety (EHS) Committee in implementing and promoting Quality, Environmental, Health, and Safety initiatives.
  • Review and update Risk Assessments (RA) and Environmental Aspect & Impact Assessments (EAIA) to ensure continued compliance and a safe, healthy workplace.
  • Review, update, and implement Standard Operating Procedures (SOPs), including emergency response and business continuity procedures.
  • Monitor contractor performance and ensure services are delivered in accordance with contractual obligations and company standards.
  • Ensure compliance with statutory regulations, company policies, and facility management best practices.
  • Perform any other duties and responsibilities assigned by the Facilities Manager from time to time.

Requirements:

  • Diploma in Building services / M & E Engineering with min 2 years of working experience in managing office building or ITE certificate in M & E course with min 5 years of relevant working experience
  • Able to manage & lead a team of in-house maintenance staff and M & E term contractors
  • Preferably with good practical knowledge in ISO 18000 and 14000 matters
  • Good written & communication skill
  • Has a good safety mindset and displays good WSH behaviour
