Job Description

What you'll do

The Property Administrator Assistant is a key member of the Property Management Team and provides day-to-day administrative support. Reporting to the Property Manager the incumbent is responsible for a variety of services related to the operation of retail and commercial properties inclusive of but not limited to AR, A/P processing, rent roll application and production, tenant liaison and communication.

  • Prepare and process P.O.s;
  • Code, process and enter incoming invoices via Yardi;
  • Day-to-day management of accounts payable issues and supplier invoices;
  • Set up and make adjustments to vendors and service contracts;
  • Ensure vendor Insurance and WSIB certificates are up-to-date;
  • Initiate the monthly AR process through the application of rent, EFT and cheque payments;
  • Processing of bank deposits and form filling;
  • Production of the monthly rent-roll and review for variances;
  • PAD/EFT tenant enrollment, oversight and administration;
  • Maintain and update Tenant security deposits and Certificate of Insurance reporting;
  • Run monthly scheduled vendor contract payments processes;
  • Support the Property Administer on accounts receivable reporting;
  • Ability to review and understand lease terminology;
  • Backfilling for support staff of reception duties including the answering and dispatching of telephone calls, receipt and distribution of mail etc;
  • Maintain and organize tenant Certificates of Insurance;
  • Perform other duties, as assigned.

What you bring

  • Completion of college in a related field or accounting with one (1) to three (3) years of commercial / retail property administration experience.
  • Experience with Yardi Property Management Software
  • Proficiency in accounting and financial management (A/P & A/R);
  • Strong customer service orientation;
  • Excellent planning and organizational skills;
  • Strong software application skills (MS Office);
  • Effective interpersonal and conflict resolution skills;
  • Strong written and verbal communication skills;
  • Strong Excel skills;
  • Ability to work well under pressure, multi task and meet deadlines;
  • Ability to work independently, as well as within a team.

Broadband Salary Range: $23.00/hr. – $37.00/hr.

Our typical hiring range is between $23.00.hr. and $30.00/hr. Hourly decisions are also dependent on other factors such as your experience, industry benchmarks, internal equity and other role-specific requirements. For critical roles, the compensation offering will be reviewed to ensure alignment with market rate and conditions and the unique value you bring to the role.
