Project Support Coordinator

Location: Warwick office (Agile working)

Telent are currently looking for a Project Support Coordinator to join the Wireless Telecoms team due to an influx of work within the Wireless Telecoms and Acquisitions space. This is a great opportunity to flex your administration, scheduling and coordination skills set in a fast-paced environment.

It is anticipated the successful candidate will be required to periodically to work from the Warwick office and work remotely – this is a HYBRID working role, so you must be able to travel to the Warwick office from time to time and ideally a holder of a full UK driving license.

The Project Support Coordinator role will be a varied and multifaceted role, and requires strong communication, administration, planning, scheduling and coordination experience. The Project Support Coordinator will support different team members working across different Wireless Telecoms and related projects.

The role will be very interactive and will require interfacing with suppliers and clients to ensure everything is kept up to date and with our internal stakeholders and Engineers.

You will also be working across various internal teams providing support where required, being customer facing with external suppliers / customers particularly Acquisition and Finance.


Project Support Coordinator - What you’ll do:

  • General Project Administration duties
  • Managing relationships with key suppliers
  • Project and meeting support
  • Dealing with client and internal stakeholder queries and escalating where necessary
  • Data entry and using / updating systems both internal for Telent and direct Customer systems
  • Providing and updating project documentation
  • Responsible for managing and raising Purchase Orders (PO’s), Invoicing and monthly billing
  • Help to prepare month end contract reviews
  • Investigate and scrutinise contact details for landlords and third parties, including highways, local planning authorities
  • Prepare and issue letters with high level of professionalism by post and email in a timely manner
  • Prepare and upload Handover Packs onto client tools
  • Assistance in using prescribed guidelines or policies to analyse and resolve problems
  • Support and assist continuous improvement initiatives
  • Coordinating site specific activities to support the installation and/or services including scheduling Engineers in/out of sites
  • Assist with the correct implementation and communication of the Client and Telent QEHS procedures, which includes Telent staff and sub-contractors assigned to the project
  • Assisting in the preparation and coordination of Acquisition and Planning documentation
  • Support and assist the Project Manager with updates to the Project Plan
  • Organising and maintaining the storage and retrieval of all documents, data and artefacts related to their areas of responsibility
  • Manage data and information from various trackers for internal and external client use (Site Tracker)
  • Support with the site handover documentation and processes

Project Support Coordinator - Key requirements:

  • Coordinator / Administration experience
  • Competent use of Microsoft office packages
  • Good communication skills
  • Good attention to detail and accurate data inputting skills
  • Good awareness / experience of Document Management systems
  • Some Finance Administration experience (Invoicing and raising Purchase Orders / PO’s)
  • Experience within the Wireless Telecoms sector or other related industries would be advantageous
