Job Description

About the Position

The Project Specialist OR Junior Project Manager is expected to oversee and manage, as assigned, multi-faceted projects and apartment renovations. This position also provides overall project support for the Capital & Insuite teams including general admin, project reporting and oversight.

Compensation:

The expected annualized base salary range for this position is $70,000 - $90,000 The actual salary offered will take into consideration a wide array of factors including, but not limited to, the individual’s skill, experience, and relevant education or training.

Key Responsibilities:

Project Management:

  • Manage and execute the planned capital & insuite program within assigned portfolio.
  • Work closely with the Internal team members to coordinate an organized, least disruptive impact of projects to residents.
  • Define scope of work, project budgets and obtain required approval documentation.
  • Actively manage all assigned projects to ensure delivered on schedule, within budget and to required quality specifications.
  • Ability to source, negotiate and hire all consultants and contractors as required.
  • Ensure the cost-effective management of all processes related to the projects.
  • Maintain compliance of departmental operating processes & procedures.
  • Perform regular documented reviews and issue updates to project stakeholders.
  • Create rec sheet based on agreed execution strategy to be executed by Project Managers.
  • Record management. Ensure executed rec sheet, associated quotes/proposals and contracts are uploaded in construction module
  • Request contract information (CCDC & Design Documents) from vendors if applicable.
  • Negotiate in tandem with Project Managers final terms of contract/commitment to ensure complete value extraction from associated capital program/project.
  • Issue executed commitment; P.O, contract and associated supporting scope/schedule documentation, to vendor and set up kick off meeting.
  • Liason with site and operations teams to effectively manage and participate in resolving any unforeseen events, including but not limited to floods, fires, heating issues, etc.
  • Complete updates of all project management software (SuiteSpot & Yardi).
  • Ensure Payscan (issuance of purchase orders & payment of invoices) is managed and maintained in a thorough, complete and timely manner, meeting all Finance Department deadlines.
  • Availability outside of regular business hours is required at times to coordinate vendor response.

Capital Management:

  • Work closely with the Director, Capital to recommend execution strategy for upcoming capital projects.
  • Provide reporting as required for cash flow, budget/project variance analysis, etc., to various internal and external stakeholders.
  • Update project tracking sheets/PO accruals as required.
  • Contribute to development of annual capital and operating budgets for assigned portfolio.
  • Assess all aspects of infrastructure planning and apply appropriate prioritization to required work.
  • Continuously improve/cost reduction initiatives.
  • Liaise with Operations team to ensure technical issues are resolved appropriately and in a timely fashion.
  • Participate in Acquisition due diligence, including preparation of a capital plan and coordinating third party reports, as needed.
  • Ensure/support overall building condition and health as it relates to the successful operation of key building essential services (I.E. heat and water).

Job Requirements

Education and Experience:

  • Post-secondary education in Business, Engineering, Project Management, Architecture, Interior Design, Construction Management or a related discipline.
  • 2-3 years project management experience is required.
  • 1-2 years of interior design experience is an asset.
  • Proven track record in building and maintaining effective working relationships and credibility with both internal and external parties.

Travel:

  • Flexibility to travel within an assigned region (up to 30-40%).
  • Access to personal vehicle is required.

Qualifications:

  • Excellent communication is required. Ability to speak other languages is considered an asset.
