A Brief OverviewThe Project Specialist ("PS") supports companywide operational initiatives, technology implementations, and strategic projects by coordinating assigned timelines, communications, documentation, and cross-functional follow-up under the direction of the Project Manager or project leadership. The PS helps track project activity, support deadlines, and keep stakeholders informed throughout implementation. The Project Specialist also serves as a technology resource by helping create, maintain, and optimize technology tools and workflows that support consistent and effective execution of operational goals. The PS assists with liaison activities among functional departments, system upgrades, and process improvement efforts that advance operational excellence and service quality.

Responsibilities

What you will do

  • Coordinates and supports assigned Operations projects, rollouts, and strategic initiatives by assisting with logistics, timelines, deliverables, meeting coordination, materials preparation, follow-up activities, and post-meeting action item tracking to support successful execution under appropriate project leadership.
  • Maintains project repositories, documentation, dashboards, status reports, records, and reference materials to support transparency, accountability, and stakeholder visibility. Tracks milestones and, with oversight from the Project Manager, prepares updates regarding progress, risks, outstanding items, decisions, actions, issues, and potential delays across the company’s project portfolio.
  • Creates and maintains workflows, standardized processes, reporting resources, and user-facing improvements that support efficiency, consistency, system integrity, and the user experience. Supports test plan development, feedback collection, and enhancement queues.
  • Coordinates with IT, project owners, functional departments, and internal stakeholders to support rollout planning, communication management, user adoption, implementation tracking, technology development updates, best practices, and operational changes, escalating questions or decisions as appropriate.
  • Supports communication plans and resources for operational and technology initiatives, gathers project updates, maintains custom dashboards, and tracks project progress across the company’s portfolio to help clarify ownership, accountability, responsibilities, and potential delays.
  • Assists IT and project owners in evaluating the effectiveness of operational initiatives and prepares reports, activity summaries, budget tracking documentation, project updates, event calendars, and operational communications to support leadership review and information sharing.
  • Provides implementation support to project leaders for assigned departments, as needed, in alignment with the essential project coordination, stakeholder communication, documentation, and implementation tracking responsibilities described above.
  • Other duties as assigned within similar scope.

Qualifications

  • Bachelor's Degree in Project Management, or a related field. Preferred
  • 3-6 years related experience in project management. Required
  • 2-4 years experience in business management or other related field. Plus
  • 1-3 years experience in the legal industry. Plus
  • Excellent verbal and written communication skills. (Required proficiency)
