Project Specialist

Project Specialist, Division of Urban Forestry

The Project Specialist supports the Division of Urban Forestry by coordinating resident communication, service request intake, internal coordination, and community engagement activities. This position serves as a key point of contact for residents, City staff, Council offices, 311, and other departments to ensure requests are clearly documented, routed appropriately, and addressed in a timely manner.

The Project Specialist also supports administrative coordination, service request quality control, performance tracking, and staff engagement efforts. This role helps improve the Division’s responsiveness, communication, data quality, and overall service delivery.

Examples of duties

Under administrative direction, is responsible for assisting with duties related to completion of projects, programs, or initiatives for a City division or department. Serves as the specialist to the supervisor or manager of projects, programs or initiatives. Provide administrative support, schedule meetings and ensure deadlines are met. Assist in creating schedules, timelines, and maintain project budgets. Provides reports, presentations, communications and correspondence as required. Performs other related duties as required.

Qualifications

High School Diploma or GED required. Associate or Bachelor's Degree from an accredited two year or four-year college or university in Business or Public Administration, Social Sciences, or closely related field preferred. One year of full-time paid experience in government or private industry required. Substitution: Completion of a fellowship program, apprentice program, or other similar program; OR completion of a certification program, i.e., Project Management, Human Resources, etc. Must be able to lift and carry thirty (30) pounds. Valid State of Ohio Driver's License or State-issued identification card. Must be proficient utilizing all Microsoft Office products.

ESSENTIAL DUTIES AND JOB FUNCTIONS

  • Facilitate resident, stakeholder, and internal communications to support customer service, service request generation, request routing, follow-up, and issue resolution.
  • Review, update, track, and maintain service requests, work-related inquiries, and related records in CityWorks or other tracking systems to support accurate and timely service delivery.
  • Coordinate with field staff, supervisors, 311, Council offices, City departments, and other internal partners to address service needs, clarify information, and support operational follow-through.
  • Identify urgent, time-sensitive, incomplete, duplicate, or escalated matters and route, flag, merge, close, or elevate items as appropriate.
  • Support administrative coordination by tracking tasks, deadlines, outstanding items, recurring issues, and matters requiring supervisor review.
  • Support the development and maintenance of standard operating procedures, templates, scripts, checklists, and other tools that improve consistency, communication, and service request quality.
  • Support staff engagement, community outreach, internal communications, and team-building initiatives.
  • Perform other related duties as assigned to support the goals, operations, and service delivery needs of the Division of Urban Forestry.
