Project Specialist

Main Role

As a Project Specialist, you will support Project Managers and Project Coordinators in the successful execution of project management activities. You will be responsible for coordinating administrative and operational tasks, maintaining project documentation, supporting reporting activities, and ensuring smooth communication among stakeholders.

This role requires adaptability, strong organizational skills, and the ability to manage both structured project activities and ad-hoc requests in a dynamic international environment.

Tasks and Responsibilities

• Support Project Managers and Project Coordinators with daily project management activities.
• Maintain project portfolios, roadmaps, and implementation schedules.
• Support the creation, update, and management of project templates, processes, guidelines, standards, and procedures.
• Administer project sites and documentation repositories using MS SharePoint and DSV platforms.
• Prepare project reports, budget updates, and KPI tracking for different stakeholders.
• Collect, organize, and maintain project documentation for Project Boards and governance meetings.
• Coordinate and schedule meetings, workshops, and project-related activities.
• Support the preparation of project materials and presentations.
• Coordinate business travel arrangements when required.
• Ensure projects are managed according to established project management methodologies, including Prince2 and DSV project standards.
• Collaborate with international stakeholders and support effective communication across teams.
• Contribute to continuous improvement initiatives and professional development activities.

Education and Skills

• Bachelor’s or Master’s degree in Management, Administration, Project Management, Marketing, or a related field.
• Knowledge or practical experience with project management methodologies (Prince2 knowledge is an advantage).
• Fluent English communication skills, both written and spoken.
• Strong knowledge of MS Office tools, especially PowerPoint, Excel, Visio, and SharePoint.
• Experience with Clarity is considered an advantage.
• Ability to work effectively in an international and multicultural environment.
• Strong organizational and prioritization skills.
• Excellent communication and stakeholder management abilities.
• Problem-solving mindset with attention to detail.
• Proactive, flexible, and service-oriented approach.

Minimal Work Requirements

• Experience working in an international environment.
• Minimum 2 years of professional experience supporting or coordinating project-related activitiesis mandatory and not negotiable.
• 3–4 years of experience collaborating with and managing multiple international stakeholders.
• Experience coordinating project activities, documentation, reporting, and stakeholder communication.
