You will play a central role in coordinating projects and ensuring smooth execution of program activities, from planning and scheduling to stakeholder engagement and reporting. Accountabilities:

  • Coordinate and support the delivery of programs and projects, ensuring activities are completed on time and aligned with defined objectives.
  • Manage intake processes, including enquiries, applications, eligibility checks, and ongoing tracking of engagements.
  • Organize workshops, meetings, panels, and evaluation sessions, including logistics, documentation, and follow-up activities.
  • Maintain accurate records, databases, and CRM systems to ensure data integrity, confidentiality, and reliable reporting.
  • Monitor project milestones, actions, and deliverables, ensuring timely follow-up and escalation where required.
  • Support ideation, planning, piloting, and scaling of initiatives within structured program frameworks.
  • Prepare reporting materials, collate feedback, and contribute to continuous program improvement activities.
  • Collaborate with internal teams and external stakeholders to ensure smooth communication and coordination.
  • Requirements:

    • Experience in project coordination, program support, or similar administrative/project delivery roles in fast-paced environments.
    • Strong organizational skills with the ability to manage multiple priorities and meet tight deadlines.
    • Excellent communication and interpersonal skills, with the ability to build effective relationships with diverse stakeholders.
    • Understanding of confidentiality requirements and ability to handle sensitive information professionally.
    • Familiarity with administrative systems, CRM tools, and modern office software.
    • Ability to interpret and apply policies and procedures within structured organizational environments.
    • Relevant tertiary qualification or equivalent combination of education, training, and experience.
    • Experience in healthcare, aged care, or social services environments is highly desirable.
    • Strong attention to detail and proactive, solution-oriented mindset.
    • Ability to work independently while contributing effectively within a collaborative team.
