Job Description

We are looking for a highly organised and proactive Project Portfolio Coordinator to join our IT team in Paarl. This role plays a critical part in ensuring our project portfolio remains visible, well-governed, and accurately maintained across South African and international operations. Working closely with Project Managers, business leaders, and regional stakeholders, you will be responsible for coordinating portfolio governance activities, maintaining project tracking tools, consolidating reporting, and ensuring consistent project administration across multiple initiatives. Key Performance Outputs Portfolio Governance & Reporting Maintain a single, accurate view of all active projects across business areas and regions. Consolidate project status updates into meaningful portfolio reports for leadership teams. Track project risks, actions, decisions, and dependencies across the portfolio. Support benefits tracking and reporting initiatives. Prepare portfolio dashboards and governance reporting packs. Meeting & Stakeholder Coordination Coordinate operating committee and steering committee meetings. Prepare agendas, take meeting minutes, and track action items through to completion. Follow up with stakeholders to obtain required updates and feedback. Serve as a central point of contact for portfolio-related status queries. Documentation & Process Consistency Maintain standardised project governance templates and documentation. Support document control, version management, and project filing processes. Identify reporting gaps and inconsistencies across projects. Promote best practices and governance standards throughout the organisation. Tooling & Portfolio Management Maintain project information within Jira, ensuring data quality and consistency. Monitor portfolio hygiene, project categorisation, and ownership. Identify opportunities to streamline and automate portfolio administration activities. Deliver Jira training and support to business stakeholders. Drive adoption of self-service project reporting and visibility tools. Requirements Minimum Requirements 3+ years' experience in a Project Coordination, PMO, Portfolio Administration, or Project Support role. Proven experience coordinating and tracking multiple concurrent projects or workstreams. Strong organisational skills with exceptional attention to detail. Experience using project management and tracking tools such as Jira, Excel, or similar portfolio management systems. Ability to compile and present accurate project and portfolio reports. Advantageous Experience Supporting governance forums such as Steering Committees and Operating Committees. Training and supporting business users on Jira or similar collaboration tools. Exposure to international and cross-functional stakeholder environments. Technical Skills Portfolio administration and reporting. RAID logs, dashboards, and project tracking. Jira administration and portfolio maintenance. Meeting coordination and action management. Data analysis and reporting. Project governance and documentation control. User training and stakeholder enablement. Behavioural Competencies Highly organised and self-driven. Strong communication and stakeholder engagement skills. Able to manage multiple priorities simultaneously. Proactive, solution-oriented, and detail-focused. Comfortable working across diverse teams and international regions.
