Ngwala Willumbong is a leading provider of culturally safe and effective support services for Aboriginal and Torres Strait Islander people. We are committed to supporting individuals affected by alcohol and other drug misuse, providing them with pathways to recovery through holistic and culturally appropriate rehabilitation programs.

About the Role:

The Project Officer provides project coordination, administrative, and operational support within the Office of the CEO, including secretariat support to the Southern Aboriginal Bayside Strategic Governance Forum. The role assists with the coordination and delivery of projects, prepares reports, correspondence and documentation, supports information management, and undertakes administrative activities to support effective business operations. The position provides administrative support including coordinating meetings, preparing agendas and minutes, maintaining records, and supporting communication with stakeholders. The Project Officer contributes to the implementation of organizational priorities by providing timely project support, coordination, and reporting assistance. The role requires well-developed organisational, communication, writing, and administrative skills, the ability to manage competing priorities, and the capacity to work collaboratively with Aboriginal communities, internal teams, government departments, and external stakeholders.

Key Responsibilities:

Secretariat Support – Southern Aboriginal Bayside Strategic Governance Forum:

  • Provide administrative and coordination support to the Secretariat function of the Southern Aboriginal Bayside Strategic Governance Forum, including meeting coordination, preparation of agendas, minutes, papers, and supporting documentation.
  • Maintain accurate records, manage information, coordinate communications, and support the effective flow of information between Forum members, stakeholders, and relevant parties.
  • Assist with the preparation of reports, correspondence, briefing materials, and other documentation to support effective governance and decision-making.

Project Support and Coordination – Office of the CEO:

  • Provide project coordination support across initiatives led by the Office of the CEO, including assisting with project planning, monitoring timelines, maintaining documentation, and tracking actions and outcomes.
  • Support research, data collection, reporting, and preparation of project-related materials to assist the delivery of organisational priorities.
  • Assist with stakeholder engagement activities, including coordinating communication with internal teams, Aboriginal community representatives, government departments, sector partners, and other stakeholders.

Administrative Support – Office of the CEO:

  • Provide general administrative support to the Office of the CEO, including coordination of meetings, correspondence, document preparation, records management, and information management.
  • Support the preparation of reports, presentations, briefing notes, and other written materials as required.
  • Assist with coordination of events, workshops, and meetings, including scheduling, logistics, materials preparation, and follow-up actions. Stakeholder and Community Engagement

Stakeholder and Community Engagement:

  • Build and maintain positive working relationships with Aboriginal communities, Forum members, internal teams, government departments, and external stakeholders.
  • Support culturally appropriate engagement practices and contribute to effective communication and collaboration. Aboriginal Cultural Awareness and Self-Determination

Aboriginal Cultural Awareness and Self-Determination:

  • Demonstrate an understanding of Aboriginal communities, cultures, and the principles of Aboriginal self-determination.
  • Support Ngwala’s commitment to Aboriginal-led approaches, strong Aboriginal communities, and culturally safe practice.

Skills & Experience:

  • Exceptional written and verbal communication skills, including the ability to communicate effectively with diverse stakeholders.
  • Proven ability to manage multiple tasks, prioritise effectively, and meet strict deadlines.
  • Demonstrated ability to build and maintain positive relationships with a variety of stakeholders.
  • Awareness and understanding of Aboriginal issues, policies, and cultural protocols.
  • Experience providing secretariat support to committees or groups.
  • Demonstrated commitment to quality and continuous improvement, and ability to apply policies and procedures.
  • Ability to work effectively as part of a team and collaborate with others.

Mandatory Requirements:

  • Current Victorian Driver's License
  • National Police Certificate (not older than 3 months)
  • Victorian Employment Working with Children Check
