POSITION TITLE:Project Manager, YLG 4 Communications

CONTRACT DURATION: Fixed-term contract ending April 2027
As Project Manager for YLG 4 Communications, you will play a critical role in planning, coordinating, and executing communication workflows for the Fourth Younger Leaders Gathering (YLG 4). This role is focused on ensuring that all communication outputs—across internal coordination and external engagement—are delivered with clarity, consistency, and excellence.
You will manage the day-to-day execution of communication workflows, including email communication, content production, print coordination, and collaboration with internal teams and external service providers. You will help ensure that messaging, materials, and assets are delivered on time and aligned with the Lausanne Movement’s mission.
Working closely with the Director of Engagement and the wider communications team, you will provide structure, organisation, and dependable follow-through across all YLG 4 communication initiatives.

FUNCTIONS AND RESPONSIBILITIES
Coordinate and track all YLG 4-related communication department projects from intake to delivery.
Ensure timelines are clear, realistic, and consistently met across internal and external contributors.
Maintain visibility of priorities, dependencies, and milestones leading up to and during the gathering.
Establish and manage clear workflows for internal communications, external communications, and content production.
Ensure all contributors understand requirements, timelines, and approval processes.
Support efficient movement of deliverables from concept through production and distribution.
Ensure consistency in messaging, timing, and delivery across all communication channels.
Support the integration of communication department plans into the broader YLG 4 project timeline.
Oversee the planning, production, and delivery of all printed materials for YLG 4 (eg. participant materials, signage).
Coordinate timelines, specifications, and approvals for print deliverables.
Ensure quality control and alignment with Lausanne brand and editorial standards.
Manage relationships with external vendors, including designers, printers, translators, and other service providers related to YLG 4.
Oversee onboarding, briefs, timelines, and delivery expectations.
Ensure timely and high-quality execution of outsourced work.
Track all communication assets, including written content, design files, and print materials.
Maintain organised systems for storage, naming, and accessibility of assets.
Ensure version control and clarity across teams.
Conduct quality checks to ensure materials align with Lausanne’s brand, tone, and editorial guidelines.
Identify inconsistencies or gaps and facilitate timely resolution.
Identify workflow inefficiencies and recommend practical improvements.
Help implement tools, templates, and documentation to strengthen team effectiveness.
Provide regular updates on project status, risks, and timelines.
Ensure key stakeholders are informed and aligned throughout all phases of the project.
POSITION REQUIREMENTS
Professional
Bachelor’s degree in Communications, Project Management, Marketing, or related field (or equivalent experience).
Proficiency in communications tools and platforms, including project management systems and analytics software; familiarity with content management systems (Wordpress, MailChimp, etc.) is a plus.
Able to manage and work efficiently within multiple projects simultaneously.
Excellent interpersonal and leadership skills, high initiative, reliability, self-motivation, self-management, and strong alignment with the organization's mission and values.
Demonstrated experience managing multiple projects, ideally in a communications, event or creative environment.
Strong organizational skills and attention to detail.
Excellent communication skills and the ability to coordinate across multiple teams.
Ability to work independently, manage priorities, and maintain strong follow-through.
Alignment with the Lausanne Movement’s mission and values.

COMPENSATION:Payment will be arranged based on competencies and responsibilities and will be decided on an individual basis. Lausanne does not have direct employees so, the payment will be contract work with a business vendor or the prospective contractor will be employed through one of our partner organizations.
LOCATION: Remote working arrangement, with required availability at different times of the day for periodic calls with staff around the world. This position may require some international travel (10-15 nights per year).
