Who is Haven Home Safe?

Haven Home Safe (HHS) is a purpose-driven, for-purpose, community housing provider committed to ending housing insecurity and advancing housing justice across Victoria. We centre the voices and lived experience of the people we support, working alongside our clients to deliver services that are respectful, inclusive, and responsive. We deliver homelessness intake and referral services, integrated housing and support services encompassing Social and Affordable housing, Specialist Disability Accommodation (SDA), Transitional Housing Management (THM), and property services. We have five (5) main office locations – Bendigo (registered Head Office), Preston, Epping, Mildura and Geelong.

Role Purpose

The Senior Project Manager leads the delivery of complex digital and business transformation initiatives across Haven Home Safe. The immediate priority for the role is the Knowledge and Information Management (KIMS) project, bringing together business, information, process and technology workstreams to establish practical and sustainable approaches to managing HHS’s knowledge and information.

While KIMS will be the primary focus for the next 12 months, the role will continue to lead and coordinate other priority Digital Services projects. The Senior Project Manager will work with a small development team to deliver improvements to HHS business systems, primarily within the Microsoft ecosystem, ensuring business needs are translated into practical solutions and successfully implemented.

Primary Responsibilities

Hands-on Project Delivery and Reporting

  • Personally maintain delivery plans, budgets, actions, risks, issues and decisions; follow up owners’ milestones, dependencies and remove obstacles promptly.
  • Write concise project updates, governance papers and executive reports that show actual progress, upcoming work, decisions required and any change to scope, timing or cost.
  • Lead projects from discovery and requirements through design, build, testing, implementation and handover; apply enough governance to support sound decisions and accountable delivery.

KIMS Discovery and Delivery

  • Lead phased KIMS discovery with business areas and Digital Services: identify key repositories, information and knowledge, owners, access, sensitivity, retention, findability, duplication and gaps.
  • Combine technical evidence with business workshops to confirm what information means, which source is authoritative, the current risks and the practical treatment required.

Business Analysis and Stakeholder Engagement

  • Facilitate workshops and one-to-one discussions; document current and future processes, pain points, user needs, constraints and measurable outcomes.
  • Write and validate clear business and technical requirements, user stories and acceptance criteria; manage changes and trace agreed requirements through build and testing.

Key Selection Criteria

Alignment with HHS’s Vision, Values, and Impact principles. 

Essential:

  • Demonstrated hands-on delivery of digital or information management projects, including personally producing project plans and reports, managing requirements, leading stakeholders and directing developer work.
  • Strong practical project management judgment, with evidence of delivering outcomes, managing scope and risks, resolving blockers and keeping governance proportionate to the work.
  • Sound business analysis skills, including workshop facilitation, process mapping, requirements and acceptance criteria, and validation with business owners.

Desirable:

  • Experience in knowledge or information management, records and retention, privacy, information governance, discovery, migration or organisational change.
  • Familiarity with Microsoft 365, SharePoint and related Microsoft information management capabilities, and with change, training and adoption in a service organisation.

Safety Screening Requirements

  • Victorian Driver’s Licence. 
  • National Police Check. 
  • Working with Children Check. 

Travel Requirements 

  • This role requires travel to other sites. 

This role may be indirectly exposed to psychosocial hazards including client [or staff] distress, trauma disclosures, and crisis responses. HHS provides supervision, debriefing, safety processes, and wellbeing supports to manage these risks. Staff are encouraged to raise concerns early through their Team Leader, HSR, or OHS processes.
