Responsible for managing multiple large-scale projects within an assigned functional area or across various entities. Takes ownership of the overall project lifecycle by guiding teams and staff, facilitating communication between stakeholders, and monitoring progress toward project goals. Ensures that the project is completed successfully and provides support to team members and stakeholders as they complete essential tasks. Leads and provides guidance and support to project team members.

Essential Functions

-Develops comprehensive project plans and monitors and manages multiple projects from initiation through completion.

-Secures required resources and uses formal processes and tools to manage resources, budgets, risks, and changes.

-Manages projects to ensure on-time completion, within specifications, and within budget.

-Communicates regularly on project status with project stakeholders.

-Owns project plans for multiple large-scale projects.

-Provides guidance to project coordinators and project managers.

-Identifies potential risks early, analyzes the possible impact, and develops mitigation strategies.

Qualifications

Essential Functions

  • Develops comprehensive project plans and monitors and manages projects from initiation through completion, including plans, workflows, benchmarks, and timelines for workforce enrichment initiatives.
  • Secures required resources and uses formal processes and tools to manage resources, budgets, risks, and changes.
  • Manages projects to ensure on-time completion according to specifications and within budgeted costs.
  • Communicates regularly on project status with project stakeholders.

  • Oversee registration processes and track participation, feedback, and outcomes from enrichment sessions.
  • Contribute to strategic documents, proposals, and presentations.
  • Prepare materials and logistics for facilitator-led engagements.
  • Drive development of new offerings or adaptations based on client needs.

Systems & Process Management

  • Design and maintain scalable, repeatable systems for efficient program delivery.
  • Build team project systems, and infrastructure to effectively manage collaborative team workflows.
  • Develop and maintain project workflows, annual goals, budgets, and retreat plans.
  • Create and update team policies, protocols, and procedures.
  • Build collaborative templates and forms for project management.
  • Create reports and PowerPoint presentations.
  • Develop dashboards and trackers for real-time visibility into program activity and impact.
  • Identify opportunities to automate coordination tasks (e.g., scheduling, reminders, follow-ups).
  • Manage shared file organization systems (SharePoint, Teams, OneDrive).
  • Serve as the primary point of contact for client departments engaging with consultants, as related to logistics.
  • Distribute communications about program offerings and updates drafted by consultants and/or program managers.
  • Build and maintain timelines for communications (Vitals, Broadcasts, E-Blasts, Digital Ads).
  • Manage data & data systems for weekly reports, showcasing department achievements and impact.
  • Identifies potential risks early, analyzes the possible impact, and develops mitigation strategies.
  • Manage the full project management cycle from small details to highly complex and broad applications

Education

  • Bachelor's Degree Related Field of Study required
  • Master's Degree Related Field of Study preferred

Licenses

  • Certification in project management

Work Experience

  • 5-7 years Project management experience and
  • 0-1 year Team leadership experience "

Knowledge, Skills, Experience

  • Excellent project management skills, including the ability to plan, organize, and execute projects effectively.
  • Proven experience in project management.
  • Demonstrative understanding and experience with leading edge project management principles, practices and methodologies.
  • Ability to collaborate effectively with healthcare professionals across multiple disciplines and experiences.
  • Excellent communication skills, both written and verbal, with the ability to communicate complex technical concepts to non-technical stakeholders.
  • Proven ability to design and maintain scalable, repeatable systems for efficient project delivery.
  • Proficiency in project management software.
  • Proficiency with project management tools, dashboards, and collaborative platforms (e.g., SharePoint, Teams, Asana).
  • Proficiency with interactive presentation platforms and tools (PowerPoint, Menti, etc.).
  • Demonstrated ability to promote learning and development in others by effectively communicating project-related information and offering guidance to advance progress.
  • Excellent analytical and problem-solving abilities.
  • Experience with data analysis, synthesis reporting, and impact measurement, longitudinal forecasting, planning and mapping.
  • Ability to adapt to a fast-paced environment and manage multiple projects simultaneously.
