About the Role.
The Project Manager is responsible for the planning, coordination, delivery and evaluation of the Hospitality Futures Project in accordance with the grant objectives and Activity Work Plan.
The role delivers a structured employment and training pathway program, supporting participants into hospitality roles within Barunga Village.
This is a leadership-oriented project role requiring both strategic oversight and active involvement in program delivery, ensuring effective coordination, timely decision-making and responsiveness to participant and operational needs.
Accountable for achieving program outcomes, including participant engagement, completion and employment pathways in line with AWP targets
Responsibilities:
Project Delivery
- Develop and deliver the Hospitality Futures Project and Day-to-day plan in line with grant requirements, timelines and budget
- Coordinate all aspects of project delivery, including participant intake, scheduling, training and stakeholder engagement
- Manage participant engagement with a strengths-based approach, maintaining appropriate professional boundaries and escalating complex wellbeing matters where required
- Work closely with the Psychologist and external service providers to ensure wrap-around support is delivered.
- Collaborate with the Director of Operational Services to align program delivery with organisational hospitality standards and service delivery expectations.
- Identify, assess and report risks as they arise and implement mitigation strategies under the Quality and Risk Manager guidance.
- Maintain project documentation, tracking and reporting systems
Participant Recruitment and Support
- Coordinate recruitment of participants with Employment Service Providers
- Ensure the onboarding process
- Support participant engagement, progression and induction into employment.
- Monitor participant outcomes and address barriers to participation
Workforce Integration and Rostering
- Coordinate the integration of participants into Barunga Village hospitality rosters
- Coordinate with operational teams to integrate participants into hospitality functions without compromising service delivery.
- Identify and escalate any conflicts between program objectives and operational requirements to support timely resolution.
- Work closely with the Roster Officer and DCW to manage: Safe roster coverage Appropriate skill mix Continuity of service delivery Manage the staged transition from DCW workforce to project participants Identify and manage risks associated with workforce transition and service continuity
Buddy and Training Coordination
- Coordinate recruitment, onboarding and allocation of buddies in collaboration with P&C, operations and DCW
- Liaise with RTOs for training delivery and participant support.
- Deliver buddy training and workplace support
- Coordinate training delivery with the RTO and participant support with the psychologist to ensure: Alignment between training, work and support Participant progress and completion Effective engagement and retention
Workforce and Program Alignment
Ensure:
- HR frameworks, recruitment and onboarding processes are applied consistently
- Participants are integrated into Barunga Village workforce structures
- Collaborate with the Manager Pathways to Potential to ensure alignment, consistency and shared learnings across programs
Stakeholder Engagement and Communication
- Maintain strong relationships with internal teams and external partners, including DCW, RTOs and employment providers
- Work with the Marketing and Communications Manager to manage clear and consistent communication to staff, residents and stakeholders
Governance, Reporting and Compliance
- Maintain project governance, including risk, schedule and participant tracking
- Provide regular reporting to the steering group, Executive, Board and funding body
- Ensure compliance with relevant legislation, funding requirements, WHS, policies and Aged Care Quality Standards
- Ensure all data collection, documentation and evaluation activities are completed in line with the M&E framework.
- Lead continuous improvement and quality assurance processes throughout the project.
Financial Management
- Monitor project budget and expenditure
- Ensure financial compliance with grant requirements
About you.
Essential qualifications and experience
- Demonstrated experience leading programs involving participants facing barriers to employment, requiring coordination across multiple stakeholders, and the ability to balance individual support needs with operational requirements.
- Proven ability to manage competing priorities, stakeholder expectations and participant needs, applying sound judgement in complex or ambiguous situations.
- Experience coordinating recruitment, onboarding and workforce integration
- Understanding of inclusive employment, mental health, or social support principles.
- Experience coordinating and delivering training, mentoring or buddy programs
- Demonstrated ability to deliver multi-stakeholder projects on time and budget.
- Experience in leading monitoring and evaluation activities and reporting to funding bodies.
Desirable qualifications and experience
- Qualifications in project management, social work, community development, or related fields.
- Experience in aged care, hospitality or community services
- Experience delivering employment pathway or workforce programs
- Experience working with RTOs or allied health/wellbeing providers

- Excellent interpersonal and communication skills, with the ability to engage a wide range of stakeholders, including vulnerable participants.
- Strong problem-solving skills.
- Strong organisational, administrative, and ICT skills, including proficiency in Smartsheet, Microsoft Office, and CRM/data platforms.
