Job Description

Key Responsibilities

1. Project Implementation & Coordination

  • Coordinate contract logistics implementation projects from planning through to go-live.
  • Develop and maintain project timelines, key milestones, action trackers, and implementation plans.
  • Monitor project progress and follow up with internal stakeholders to ensure deliverables are completed on time.
  • Support alignment between regional, local, and corporate teams during implementation.
  • Track cross-functional dependencies across site readiness, systems, operations, SOP, training, and manpower planning.

2. Cross-Functional Stakeholder Management

  • Work closely with local warehouse managers, country teams, operations, systems, SOP/training, and regional stakeholders.
  • Ensure clear ownership of tasks and deliverables across all project workstreams.
  • Coordinate regular internal project discussions to review progress, risks, and pending actions.
  • Help prevent gaps between operational design, system readiness, and go-live preparation.
  • Escalate delays or unresolved issues to the appropriate stakeholders in a timely manner.

3. Risk, Issue & Action Management

  • Maintain a live project risk, issue, and action log.
  • Identify potential timeline risks, resource constraints, system bottlenecks, or operational readiness gaps.
  • Follow up on mitigation actions and ensure responsible parties provide timely updates.
  • Escalate key risks early to support timely decision-making.
  • Ensure open issues are tracked through to closure.

4. Client Interface & Communication

  • Support and participate in regular client implementation calls.
  • Provide structured project status updates, including progress against timeline, key milestones, open issues, and next steps.
  • Act as a coordination point between client requirements and internal execution teams.
  • Ensure client updates are clear, consistent, and professionally presented.
  • Follow up internally on client-raised items and ensure responses are tracked and addressed.

5. Go-Live Readiness Support

  • Coordinate go-live readiness checks across key areas, including site setup, manpower, SOP, training, system configuration, and UAT status.
  • Work with operations and systems teams to confirm readiness before go-live.
  • Highlight any readiness gaps and support escalation where required.
  • Assist with go-live preparation, implementation follow-up, and post-go-live stabilization activities.
  • Support handover from project implementation to daily operations after stabilization.

6. Reporting & Governance

  • Maintain a central project dashboard covering timeline, milestone progress, risks, issues, and action items.
  • Prepare concise and structured updates for internal stakeholders and management.
  • Support weekly project governance meetings and ensure follow-up actions are captured.
  • Ensure project documentation is organized, updated, and accessible to relevant stakeholders.

Key Requirements

  • Diploma or Degree in Logistics, Supply Chain, Business, Project Management, or a related discipline.
  • Minimum 5 to 8 years of relevant experience in logistics, contract logistics, 3PL, warehouse operations, supply chain, or project implementation.
  • Experience supporting warehouse start-ups, contract logistics implementation, operational transition, or client implementation projects will be an advantage.
  • Exposure to WMS, UAT, system implementation, EDI/API integration, or warehouse systems will be preferred.
  • Experience working with cross-functional and regional stakeholders across different countries is an advantage.
  • Comfortable participating in client-facing project calls and providing structured updates.
  • Proficient in project tracking tools such as Excel, PowerPoint, Microsoft Project, Smartsheet, or similar platforms.
  • Regional travel may be required depending on project needs.
