Job Description

Position Summary

A respected high-end residential landscape design-build company in Napa is hiring an experienced Design-Build Project Manager to oversee the planning, execution, and completion of its projects. This role makes sure projects are delivered on time, on budget, and to the highest quality standards. The Project Manager works closely with the Lead Install Account Manager, the Installation and Maintenance divisions, and subcontractors to deliver seamless results to clients.

Key Responsibilities

Project Planning & Execution

  • Coordinate crew leaders, equipment, materials, and subcontractors across multiple job sites
  • Oversee irrigation installation on all job sites
  • Conduct preconstruction package reviews so project requirements are fully understood and properly sequenced
  • Lead project close-out, including final client walkthroughs and verifying project documentation
  • Partner with the Maintenance division for smooth project handoffs and clear instructions for ongoing care

Scheduling & Coordination

  • Manage project schedules, labor and equipment allocation, and subcontractor timelines
  • Schedule equipment and material deliveries, making sure procurement and sequencing meet project milestones
  • Schedule utility locates as required for California job sites

Safety & Crew Leadership

  • Promote a zero-injury culture and enforce company safety standards
  • Lead weekly safety meetings and conduct monthly vehicle and job site inspections
  • Train crews, with a goal of advancing one or more crew members into lead roles each year
  • Manage labor backlog and headcount forecasting to allocate resources across projects
  • Oversee daily work orders and timesheets in Crew Mobile or Aspire
  • Assess crew capabilities and provide feedback to the Operations Manager to support continuous improvement
  • Conduct regular labor reviews, analyzing over/under performance and revenue recognition to improve cost tracking and profitability

Quality Assurance

  • Visit job sites routinely for quality control, addressing issues and upholding high standards in hardscape, planting, irrigation, and subcontractor work and materials

Client Communication & Change Orders

  • Build strong client relationships through regular updates and professional handling of concerns
  • Monitor scope and proactively manage change orders with Sales, communicating scope changes to clients
  • Track and report estimated vs. actual labor hours, materials, and subcontractor costs

Key Performance Indicators

  • Estimated vs. actual hours and materials variance at 5% or less
  • Zero or one (max) lost-time injury
  • Department employee retention rate of 85% or higher

Qualifications

  • Minimum 5 years of experience in landscape project management
  • Bachelor’s degree in Horticulture, Project Management, Landscape Architecture, Landscape Design, or a related field preferred
  • Irrigation Auditor, ReScape, or other relevant industry certifications
  • Proficiency in Microsoft Word, Excel, and project management software (Crew Mobile or Aspire)
  • Ability to manage multiple projects with competing priorities and communicate clearly with clients and teams
  • Ability to lift at least 30 pounds and work on various job sites

Compensation & Benefits

  • Salary of $130,000 to $180,000 depending on experience.
  • Full-time, onsite in Napa, California, with a benefits package.
