Job Description
The Project Manager / PMO Administrator is responsible for planning, directing, coordinating, and ensuring successful delivery of assigned projects and portfolio activities within a PMO environment. This role combines hands-on project execution with portfolio administration, reporting, governance, and cross-functional coordination. The individual will work closely with internal and external stakeholders to ensure projects are delivered safely, on time, within scope and budget, and in alignment with Flowserve standards, practices, and business objectives.
This position requires strong ownership, organizational discipline, communication skills, and the ability to manage multiple priorities across global, matrixed teams. The role also requires the ability to translate business requirements into actionable dashboards, reports, plans, and project controls.
Key Responsibilities
Project Leadership and Execution
- Demonstrate full ownership and accountability for project execution, performance, safety, scope, schedule, and budget from initiation through completion.
- Lead cross-functional project teams using appropriate project management methodologies and the product development process.
- Coordinate activities across matrixed team members and functional stakeholders to ensure project objectives are achieved.
- Manage project milestones, deliverables, dependencies, and execution risks.
- Support projects through gate review approvals and ensure required documentation is complete and accurate.
PMO Administration and Portfolio Support
- Support PMO activities related to project tracking, reporting, portfolio coordination, and administrative governance.
- Build, maintain, and update dashboards and reports using Power BI, Tableau, or similar tools.
- Generate monthly and quarterly portfolio reports using project management tools such as Planview, Smartsheet, and Microsoft Project.
- Maintain project repositories, portfolio records, and documentation to ensure data integrity and visibility.
- Translate business needs into meaningful dashboards, reports, and management insights.
- Help maintain portfolio-level visibility into project health, milestones, risks, and performance.
Planning, Governance, and Controls
- Collaborate with strategic business management, functional leaders, and key stakeholders to define requirements, scope, budget, and project objectives.
- Develop project plans, schedules, and resource needs in collaboration with key stakeholders.
- Conduct risk assessments and develop mitigation and contingency plans.
- Actively manage scope changes, budgets, and risks using formal change management processes.
- Ensure a clean order and complete readiness before project execution begins.
- Apply appropriate governance practices to support project compliance and decision-making.
Stakeholder and Customer Management
- Build strong working relationships with internal teams, customers, and external stakeholders.
- Communicate project status, milestones, issues, risks, and escalation items in a timely and professional manner.
- Support customer satisfaction by maintaining transparency, responsiveness, and accountability.
- Facilitate meetings, workshops, and project reviews with clear communication and follow-through.
- Escalate issues appropriately and take ownership of reports and action items.
Process Improvement
- Identify opportunities to improve PMO processes, project execution practices, and reporting efficiency.
- Assist in implementing process improvements and support adoption across cross-functional teams.
- Train or support teams on reporting tools, process changes, and project documentation standards as needed.
Preferred Experience and Skills
- Strong experience in project management and PMO administration.
- Hands-on expertise with Power BI and/or Tableau.
- Experience with Planview, Smartsheet, Microsoft Project, or similar portfolio/project management tools.
- Excellent communication, stakeholder management, presentation, and organization skills.
- Proven ability to collaborate with global teams across APAC, EAME, and North America.
- Strong risk management, change management, and problem-solving capabilities.
- Ability to work independently with minimal supervision while managing multiple projects.
- Experience in a manufacturing environment.
- Exposure to new product development projects.
- Rotating equipment experience is preferred.
- Green Belt, Black Belt, or Lean training is an advantage.
- PMP and CSM certifications are a plus.
Qualifications
- B.E. / B.Tech in Mechanical Engineering or a related field.
- 5 to 8 years of relevant experience, preferably in manufacturing or engineering project environments.
- Experience supporting both waterfall and agile project methodologies.
- Demonstrated experience working with global and remote teams.
- Strong proficiency in Microsoft Office and project management tools.
