Job Description

The Project Manager (PM) will be responsible for developing and leading a cross functional team in the pursuit of developing a system from sale to final installed solution. During this period the PM will be required to interact with all aspects of the business unit including design, procurement, manufacturing, assembly, and testing. During a project, the PM will need to guide the team toward a solution that fulfills the customer needs, while meeting budget and time constraints. PMs will start being exposed to a project toward the end of the sale cycle as a purchase order becomes highly likely. Upon receiving an order from a customer, the PM will work with the Sales Engineer responsible to initiate a project kickoff for the project team and customer. Once this is complete, the PM will have sole responsibility of the project. The PM will have the support of other Project Mangers in the Operations Group as they learn the steps needed to complete increasingly complex projects successfully. In addition to leading projects independently, the PM may be called upon to support other PMs on larger more complex projects, to include site management. PMs will need to work with the Scheduler and members of the management team to resolve resource conflicts and project schedule conflicts. PMs also contribute to the strategic objectives of the department.

Job Duties:

  • Approve all supplier invoices related to the project. Immediately return “held” supplier invoices to coordinator and communicate the reason for holding
  • Assist in creation, review and execution of department yearly strategic initiatives
  • Assist Sales in managing escrow amounts of post-completion costs, if applicable
  • Be aware of budget margin and current forecast margin +/- 1% of all major projects at all times. Advise management of any significant expected deviations. Provide updates to accounting for updated forecasts in ERP software
  • Coordinate resolutions to post-project warranty and customer service issues with Service Manager
  • Develop estimate of floor space requirements for projects in fabrication and assembly phases
  • Document, publish, and present project lessons learned, and capture lessons learned videos. Ensure that current project close-out checklists are complete
  • Estimate and direct internal resources necessary to successfully complete projects. Communicate with other team members current and anticipated needs
  • Forward all contact information to Project Coordinator for inclusion into CRM
  • Maintain organized file throughout project and work with support specialist to archive necessary documentation. Responsible for clean-up of electronic file library
  • Manage and publish project schedules using electronic Gantt chart. Communicate when other project parties (e.g. customer) delay. Maintain baseline schedules for comparison
  • Obtain customer signature on contractual documents, including functional scope, factory and final acceptance forms
  • Participate in post project victory engagements
  • Provide weekly written update on projects including financial and milestone status. Publish weekly internal and external project status reports throughout project life cycle
  • Recommend the best internal Toyota Automated Logistics team for the project. Primary responsibility for subcontractor selection with input from Sales and Management. Ensure that contracts with subs are structured correctly and leverage existing company templates
  • Responsible for content, format and timeliness of all project correspondence and submittals including drawings, letters, equipment and controls documentation, spare parts lists, purchase orders, etc.
  • Review and approve all design releases associated with one’s projects
  • Review proposals, contracts and new orders for accuracy and commercial and technical issues. For your key documents, have another team member review
  • Support Project Managers and Senior Project Managers on larger projects, and Project Coordinators and Site Supervisors when they need help in the field
  • Work with Scheduler and other PMs to develop global schedule and resource assignments
  • Work to maintain positive cash flow on all projects, and work with support specialist to follow-up on past due invoices
  • Any and all job duties as assigned

Travel Requirements:

  • Up to 40% travel to custom sites (Travel expenses covered by Toyota Automated Logistics)

Preferred Skills and Qualifications:

  • Bachelor of Engineering or related, and 2+ years of related experience
  • Experience and/or education with basic financials
  • Basic level of skill with MS Office software suite (particularly MS Excel)
  • Exposure to MS Project for developing project timelines a plus
  • Literate with MS Project and/or other Gantt chart software
  • Ability to use AutoCAD preferred
  • Exposure to automated systems a plus
  • Ability to read drawings (both electrical and mechanical) preferred
  • Energetic, ambitious and hard working
  • Forward leaning mentality; always thinking of ways to solve the problem
  • Strong interpersonal skills required
  • Excellent communication skills (both written and verbal)
  • Must be eligible to work in the US long-term without sponsorship
