Position Objective

The Project Management Coordinator supports Project Management personnel by ensuring all project setup and documentation activities are completed accurately and on time for domestic and international projects. This role is responsible for initiating project set up and ensuring all project data is entered into relevant ERP and CRM systems to facilitate successful project execution and compliance.

Core Process Requirements

  • Timeliness of initial project setup activities to enable internal kick-off meetings.
  • Adherence to risk control strategies and best practices.
  • Maintenance of key project data and documentation throughout the project lifecycle.

Key Responsibilities

Project Setup & Coordination

  • Set up new projects in ERP (e.g., LN) and CRM (e.g., Salesforce) systems within 5–10 days of assignment, ensuring all required documentation and data are captured.
  • Create and maintain project folders, update key project information (milestones, addresses, contacts, Incoterms/trade terms, accounts, PO amount, revenue, invoices, project team, etc.).

Data Maintenance & Auditing

  • Maintain full read/write access to project management systems, ensuring all updates are completed for key tollgates.
  • Perform audits of completed or commissioning-stage projects to ensure backup documentation is loaded and supports the work done.
  • Upload key files and audit information completeness by the project’s end.

Core Principles & Documentation

  • Reviewing the final proposal, order review, saving project documentation, and receiving order documentation.
  • Look up for Suppliers addresses and contact information (for Customer Customs authority)

Financial & Administrative Support

  • Invoice and proforma request: Prior to a hardware shipment, information is confirmed and shared with finance department to get draft document and share with customer.
  • TA Upload: Prepare the file with hardware details included in the project scope and will be shared with customer for validation and get the shipment approval.
  • Gather product weight: For some customers and countries customs to facilitate the customer’s receiving process.
  • Look up for Suppliers addresses and contact information (for Customer Customs authority)

Risk Management & Process Improvement

  • Adhere to documented requirements and best practices to minimize errors or issues with project execution due to incomplete or improper setup.
  • Support process improvements and transitions, assisting Project Managers and other stakeholders as needed.

Qualifications

  • Bachelor’s degree in business administration, Marketing, Liberal Arts, or related discipline, plus 2–5 years’ experience in contracts and/or project management in a manufacturing-based industry (turbomachinery experience is a plus); or equivalent directly related experience.
  • Experience with ERP and CRM systems (e.g., Baan, LN, Salesforce).
  • Strong organizational, analytical, and communication skills.
  • Ability to coordinate across multiple departments and manage multiple projects simultaneously.
  • Proficiency in Microsoft Office 365 and Visio

This position requires working onsite five days a week.Visa Sponsorship is not available for this position.
