The Work
The Project Lead is responsible for the planning, coordination, requirements gathering, business analysis, specifications development, project planning, project monitoring, project status reporting, and system implementation of moderate to complex business solutions. This role supports cross-functional and cross-divisional initiatives and ensures that work is completed on time, within scope, and aligned with organizational goals.
The Project Lead assists in developing project plans, tracking milestones, coordinating with stakeholders, identifying and managing risks and issues, and preparing status updates for leadership. The role also supports meeting facilitation, process improvement activities, quality and compliance efforts, and promotes consistent project management practices across teams.

Responsibilities
- Lead and support the planning, coordination, and execution of moderate to complex business and technology projects.
- Gather and document business requirements; perform business analysis to translate needs into clear, actionable specifications.
- Develop and maintain project plans, schedules, timelines, milestones, action item logs, and status reports.
- Coordinate work across multiple divisions, departments, vendors, and stakeholders to ensure alignment with project objectives.
- Prepare and deliver regular project status updates, dashboards, and executive-level reports for leadership and key stakeholders.
- Facilitate project meetings, including agenda preparation, discussion leadership, documentation of decisions, and follow-up on action items.
- Identify, track, and manage project risks, issues, dependencies, and barriers; escalate concerns and recommend mitigation strategies as appropriate.
- Support process improvement initiatives by analyzing workflows, identifying inefficiencies, and recommending enhancements to improve quality, efficiency, and consistency.
- Promote and support standardized project management practices, templates, and tools across teams.
- Ensure accurate and current project documentation, including requirements, meeting notes, risk logs, decision logs, project charters, and implementation plans.
- Collaborate with technical and business teams to support system implementation and transition to operations, including readiness, testing support, and post-implementation review.
- Support quality, compliance, and governance requirements as they relate to project execution.
- Foster strong communication, accountability, and collaboration among stakeholders to maintain project momentum and achieve desired outcomes.
- Provide leadership support by coordinating assignments, monitoring progress, and helping to resolve issues that impact project delivery.

- Bachelor’s degree in Business, Information Technology, Public Administration, or a related field; or an equivalent combination of education and relevant experience.
- Project Management Professional (PMP) certification is required
- PMP certification must be clearly noted on the resume.
- Proof of certification may be requested during recruitment or employment.
- At least 3 years of project coordination or project management experience, including work on cross-functional or cross-divisional projects

- Ability to develop and manage project plans, timelines, milestones, action item logs, and status reports.
- Cross-Divisional Leadership (3 years):
- Ability to coordinate work across multiple divisions, teams, or business areas to achieve project objectives.
- Stakeholder Engagement (3 years):
- Ability to build relationships, gather input, manage expectations, and support consensus among internal teams, leadership, vendors, and partners.
- Communication and Facilitation (3 years):
- Strong written and verbal communication skills.
- Experience preparing updates, leading meetings, documenting decisions, and presenting information to leadership.
- Process Improvement (3 years):
- Ability to analyze workflows and identify inefficiencies.
- Experience recommending improvements and supporting standardized project management practices.
- Risk and Issue Management (3 years)
- Ability to identify project risks, barriers, dependencies, and delays.
- Experience escalating issues and recommending mitigation strategies.
- Documentation and Reporting (3 years):
- Ability to maintain accurate project documentation, including meeting notes, action items, risk logs, dashboards, and executive-level reports.
- Organization and Attention to Detail (3 years):
- Ability to manage competing priorities and track deadlines.
- Proven capability to ensure project deliverables are completed accurately and on time.
- Leadership and Accountability (3 years):
- Ability to guide project activities and support follow-through.
- Demonstrated skill in promoting accountability and maintaining project momentum.
- Must be able to pass a background check. May require additional background checks as required by projects and/or clients at any time during employment.
Minimum Skills Required:
- Must possess problem-solving skills.
- Exceptional communication skills, both oral and written
- Ability to respond effectively to customers with a sense of urgency.
- Proficient in Microsoft and Adobe toolsets, including Excel, Word, PowerPoint, Acrobat, etc.
- Highly motivated with the ability to handle and manage multiple tasks at any one time.
- Ability to forge new relationships, individual and teaming in nature.
- Must be a Self-starter, that can work independently and as part of a team.
Preferred Qualifications:
- Tool Proficiency (5 years preferred):
- Familiarity with tools such as Microsoft Planner, Teams, SharePoint, Excel, PowerPoint, Power BI, Visio, Power Automate, Power Apps, or similar project and reporting tools.
- AI and Automation Familiarity (2 years preferred):
- Working knowledge of automation tools, AI-supported processes, or modernization efforts that improve efficiency and reduce manual work.
- Large Organizations / Public Sector Experience (preferred):
- Experience working in large organizations or public sector environments with complex governance and stakeholder structures.
- Process Improvement / Modernization Initiatives (preferred):
- Experience supporting process improvement initiatives, automation projects, AI-enabled solutions, or broader modernization efforts.

Working Conditions
