We are looking for a Project Documentation Assistant to support our project team. This role acts as a link between Valmet and the customer’s documentation team. The main responsibility is to collect, prepare, manage, and deliver technical documents using the DMS system.
1. Documentation Management
Collect and organize project documents
Prepare and upload documents in DMS (Kronodoc)
Create cover sheets and document index using MS Office tools
Submit documents to customers for approval
Manage document revisions, status, and version control
Support Documentation Engineers when required
2. Final Documentation Preparation
Compile and deliver final documentation as per contract requirements
Ensure proper format (cover pages, index, folders, etc.)
Organize printing and hard copies, if required
Coordinate document translations
3. Coordination & Communication
Work closely with project managers, engineers, and global teams
Communicate with customers for documentation-related activities
Follow up on pending documents and resolve issues
4. Process Improvement
Suggest improvements and best practices in documentation processes.
Contribute to development tasks related to the role.
Knowledge and skills
Good communicative abilities. The work involves a lot of communication with various stakeholders, including customers.
As a language proficiency, a good knowledge of English is mandatory for drafting emails and reading documents.
From ICT skills to good management of Office programs, as well as Adobe Reader. Experience with documentation systems is an advantage.
The work requires attentiveness and systematic approach, as well as the ability to focus on several projects at different stages during the same day.

To Succeed
To succeed in this position, you should have hands-on attitude towards the work. You should be able to solve problems with different stakeholders and willing to bring up development ideas and new best practices. On the other side you should have the ability and earlier experience from tasks where your tasks have required paying close attention to details and working individually for long time periods. Documentation has deadlines which must be respected. While following schedules of multiple projects you are able and willing to communicate of possible problems and do necessary follow up in solving them. It is considered as an advantage if you have experience in using DMS systems. A good command of MS Word and MS Excel and preferably Adobe programs. You speak and write English fluently. Any other language is an advantage.
