About the role

We are looking for a Project Coordinator Specialist to join our Business To Project team, supporting our sales channel within the construction segment. We look for someone with a strong interest in automation and process development, combined with a commercial mindset.

In this role, you will coordinate customer fulfillment for installation projects and ensure a smooth journey from order to final inspection. You will play a key role in delivering excellent customer experience by managing multiple stakeholders, maintaining high operational quality, and ensuring projects are executed according to plan.

This is a hybrid role combining operations, coordination, and development, where you actively contribute to both daily execution and continuous improvement. You will work closely with customers, sales teams, installers, carriers, and internal stakeholders to drive efficient delivery processes and identify opportunities for improvement. The role also includes supporting quotation work, where understanding customer value, business impact, and profitability is key. Responsibilities

  • Operational coordination and development
  • Coordinate and manage installation projects from order intake through completion, ensuring delivery quality, project progress, and a seamless customer experience.
  • Act as the main point of contact for customers and internal and external stakeholders, communicating effectively throughout all stages of the delivery process.
  • Receive, process, and administer orders, including project preparation, booking activities, system entries, invoicing, and any required follow-up actions.
  • Proactively identify, manage, and resolve deviations, risks, and issues to ensure successful project execution.
  • Contribute to the development and continuous improvement of processes and ways of working, with a focus on efficiency, customer experience, and operational excellence.
  • Identify and drive automation opportunities, including the use of AI and digital tools, while supporting quotation creation with a commercial mindset focused on accuracy and profitability.

Qualifications

  • A few years of experience in order management, logistics coordination, sales administration, or a similar operational role.
  • Strong interest or experience in AI tools, automation, digital development, and continuous process improvement.
  • Experience working with data and analysis tools such as Excel, with the ability to use insights to support operational decisions.
  • Experience with SAP, ticketing systems (e.g., C4C), and Office 365 applications such as Teams, SharePoint, Forms, and Planner.
  • Good understanding of customer service operations, KPIs, and how to balance customer needs with operational efficiency and business goals.
  • Strong communication, stakeholder management, and basic project management skills, combined with a proactive, structured, and solution-oriented approach.
  • Fluent in Swedish and English, both written and spoken. Finnish is considered an advantage.
