We are looking for a Project Coordinator to support a large integration project within a regulated international organisation.
The role focuses on project coordination, governance, documentation, financial follow-up, stakeholder alignment, and preparing the solution for transition into operations. You will work closely with the project lead, technical integration team, project management, implementation partners, and local sites.
This is primarily a coordination and governance role rather than a hands-on technical implementation position.
Maintain project documentation, standards, governance material, and decision logs.
Track the overall project plan across several workstreams.
Follow up on milestones, dependencies, risks, actions, and key decisions.
Support the planning and execution of upcoming integration sites.
Assist in defining project scope, activities, responsibilities, and delivery plans.
Maintain regular communication with implementation partners and local sites.
Consolidate project status updates and prepare material for governance forums.
Coordinate stakeholder meetings and ensure that agreed actions are followed up.
Support collaboration between project management, technical teams, and operational stakeholders.
Track budgets, forecasts, spend, and burn rates across project workstreams.
Maintain transparency regarding financial deviations and cost-related risks.
Support financial reporting and communication with relevant stakeholders.
Ensure that project figures and forecasts are updated and clearly documented.
Support the development of the post-go-live Operations and Maintenance setup.
Help define global responsibilities and responsibilities belonging to local sites.
Support clarification of how the PI solution will be maintained, monitored, and operated after handover.
Coordinate the definition of PI Administrator roles and responsibilities.
Support the creation of escalation routes, training material, operational documentation, and working procedures.
Assist with the coordination and development of demonstrations and supporting user material.
Ensure that operational readiness activities are included in the overall project plan and governance structure.
Experience supporting projects or programmes in a Project Coordinator, PMO, Junior Project Manager, or similar role.
Experience maintaining project plans, documentation, governance material, and action logs.
Strong ability to coordinate activities across several workstreams and stakeholder groups.
Experience with budget tracking, forecasts, financial reporting, or burn-rate follow-up.
Ability to consolidate status updates, risks, dependencies, and decisions.
Strong communication and stakeholder-management skills.
Structured and organised approach with attention to detail.
Ability to work within standardised project frameworks and defined governance processes.
Professional English communication skills.
Master’s degree, preferably from a technical university.
Experience from IT integration, manufacturing IT, production systems, or operational technology projects.
Experience supporting the transition of a technical solution into operations.
Understanding of Operations and Maintenance models, service handover, or operational readiness.
Experience working with AVEVA PI, OSIsoft PI, process data platforms, or similar systems.
Experience from a pharmaceutical, life-science, manufacturing, or other regulated environment.
Experience coordinating external implementation partners and multiple sites.
Familiarity with training coordination, operational documentation, and role-definition activities.
