Job Description

Sargent Electric is a leading specialty contractor focused on electrical, instrumentation, wireless, utility, and low voltage systems. Founded in Pittsburgh in 1907, we operate from 8 locations across the Midwest, Mid-Atlantic and Northeast, delivering projects nationwide for our strategic customers.

We support the breadth of client needs — from routine 24/7 service and emergency restoration to their largest and most complex projects. Our proven safety record, technical depth, and longstanding client relationships have made us a partner of choice for Fortune 500 companies, leading general contractors, and EPC contractors.

We are seeking to hire a Project Coordinator in our Pittsburgh, PA office. This role will be on the project site in Shippingport, Pennsylvania.

POSITION OVERVIEW:

This role provides coordination and administrative support for the on-site management team at the Bloom PIT Campus Power Station, a large cost-plus, open-book, self-perform IBEW electrical and medium-voltage project. The position works directly with the Project Engineers and Assistant Project Managers to keep meetings, follow-ups, documents, visitor logistics, and field office operations organized.

WHAT YOU'LL DO:

  • Coordinate Meetings. Schedule meetings, prepare agendas and logs, record clear minutes, and track follow-up with the Project Engineers and Assistant Project Managers.
  • Support Weekly GC/Owner Coordination. Prepare meeting documentation, status information, action items, and minutes for the weekly GC/owner coordination meeting, with content and review from project leadership.
  • Track Follow-Ups and Action Items. Track deliveries, visitors, access requests, owner/GC requests, and other open items; help assign action items and confirm completion.
  • Distribute Project Documents. Print, plot, and distribute drawing sets and revised documents to the field while maintaining transmittal records.
  • Run Field Office Operations. Order and stock supplies and coordinate visitor logistics and site access requests with the Safety Manager and General Superintendent.
  • Route Time and Pay Questions. Direct time entry, time correction, per diem, and pay questions to the On-Site Payroll Administrator; this role does not process time or payroll.
  • Drawing Revisions and Transmittals. Support drawing revisions and transmittals by distributing revised documents to the field and maintaining transmittal records.
  • Field Office Operations. Run field office operations, including supply ordering and stocking.
  • Visitor and Site Access Logistics. Coordinate visitor logistics and site access requests with the Safety Manager and General Superintendent.
  • Champion Safety Culture. Lead by example in upholding safety standards and support best practices across field and office environments, reinforcing expectations established by project leadership and the on-site Safety Manager.
  • Crave Learning. We value people who want to grow through hands-on experience, training, and mentorship. Be active in identifying and engaging in these opportunities.
  • Additional Responsibilities. Assume additional duties and responsibilities as delegated by Sargent Executive Management.

WHAT YOU'LL BRING:

  • High school diploma or equivalent required; associate or technical degree preferred.
  • Experience with ProjectSight, Bluebeam, Procore, and Microsoft Office applications, including Outlook, Excel, Word, Teams, and SharePoint.
  • Strong organizational skills, attention to detail, and the ability to track multiple follow-ups at once.
  • Ability to take accurate meeting minutes and prepare clear agendas and logs.
  • Strong interpersonal and verbal communication skills and the ability to communicate effectively with field supervision, engineers, vendors, the general contractor, and the owner.
  • The ability to work efficiently under tight timeframes, respond to requests promptly, collaborate as a team player, and manage multiple priorities.

REQUIRED EXPERIENCE:

  • Experience in construction project coordination, administrative support, or a similar role.
  • Experience supporting meetings, document distribution, follow-up tracking, and field office operations.

WHY JOIN SARGENT ELECTRIC?

  • Competitive compensation based on experience
  • Established, growing company with a strong industry reputation
