Project Coordinator – Medical Affairs GBS

Location: Mexico City
Department: Global Business Services (GBS)

We are looking for a motivated and detail-oriented Project Coordinator to support our Medical Affairs teams as part of the Medical Modernization and Strategic Partnership Engagements function. This role offers a strong development opportunity for professionals looking to build their project management capabilities in a dynamic, cross-functional environment.

The Position

As a Project Coordinator, you will provide operational and project support to Clinical Medical Teams (CMTs) and Business Partners across multiple therapeutic areas. You will play a key role in ensuring smooth execution of projects, effective coordination of activities, and strong financial and administrative support.

Your responsibilities will include:

  • Supporting project planning, timelines, and tracking across multiple initiatives
  • Managing purchase orders (POs) and supporting invoicing processes across business areas
  • Coordinating meetings (e.g., CMTs, Advisory Boards), including logistics, agendas, and minutes
  • Supporting Business Partners in day-to-day project coordination and documentation
  • Contributing to the preparation of presentations and stakeholder materials
  • Maintaining distribution lists, calendars, and communication flows
  • Assisting in process improvements and ensuring adherence to project management best practices

What We’re Looking For

Must-have qualifications

  • Bachelor’s degree in Business, Healthcare, or a related field
  • 3–4 years of experience in project coordination or project management
  • Experience working in the healthcare, life sciences, or pharmaceutical industry (min. 2 years)
  • Strong organizational and time management skills
  • Experience managing budgets, purchase orders, or financial tracking activities
  • Advanced Excel and PowerPoint skills
  • Strong communication skills in English and ability to work with cross-functional stakeholders

Nice-to-have

  • Experience with project management tools and methodologies
  • Exposure to Medical Affairs operations (e.g., advisory boards, congresses)
  • Demonstrated ability to work in a global or shared services environment
  • Strong learning agility and interest in developing into a Project Manager role
