Job Description
As a Project Coordinator, you will support architects, engineers, and construction professionals by keeping project information organized, accurate, and moving forward. You will play a key role in project coordination, documentation, scheduling, and client service while helping create a polished, welcoming experience for both team members and visitors. Your work will directly support quality, consistency, and the successful delivery of interdisciplinary projects.
Deliver Results
• Coordinate the daily flow of project and team communication, both internally and externally.
• Schedule meetings and support project teams with agendas, minutes, calendars, and meeting logistics.
• Prepare and maintain contracts, specifications, project manuals, and other project documentation using firm-standard tools and processes.
• Track and process proposals, submittals, certificates of insurance, and Requests for Information (RFIs) in coordination with project teams.
• Maintain accurate project data, files, budgets, schedules, and contact records in Deltek and other project systems.
• Review administrative and technical documents for formatting, grammar, spelling, punctuation, and overall quality before distribution.
• Support reception, hospitality, office coordination, and other administrative functions that contribute to an exceptional team and client experience.
Qualifications
• High school diploma required; associate’s or bachelor’s degree preferred.
• Minimum of 3 years of administrative, project coordination, or project support experience; experience supporting construction, architecture, engineering, or other professional services teams preferred.
• Strong organizational skills, attention to detail, and the ability to manage multiple priorities and deadlines with accuracy.
• Excellent written and verbal communication skills, including the ability to review correspondence and technical documents for formatting, grammar, spelling, and punctuation.
• Proficiency in Microsoft Office, including Word, Excel, and Outlook; experience with Microsoft Teams, SharePoint.
• Professional, client-service mindset with the ability to adapt in a fast-paced, collaborative environment while maintaining confidentiality and supporting multiple team members and projects.
