DIMENSIONS OF ROLE

The Program Coordinator reports to the Team leader - ISFP. He/ She will be charged with the responsibility of supporting project and program implementation within all Plan International Sierra Leone operational areas. The Project Coordinator will ensure the following:

• Ensuring that project is meeting the set indicators and delivering outputs towards the intended outcomes, both on-site and through written project activity reports.
• Follow-up to ensure high-quality program implementation is achieved as well as full compliance as stated in the proposal.
• Manage all the tracking procedures in the project to ensure all food transactions are accounted for in compliance with both Plan and government regulations.
• Ensure a smooth relationship between Plan International Sierra Leone and the government of Sierra Leone is maintained.

ACCOUNTABILITIES

Key Deliverables

• In coordination with the MERL Manager, participate in program assessments and evaluations.
• Collecting data and writing up monthly reports and quarterly reports for CO Management, NO Management, and MBSSE
• Collecting data and writing detailed quarterly reports to be submitted to CNO Management and CO Management
• Creating and presenting a monthly brief to be shared with the minister each month to update the donor on project progress
• Lead in documentation and review of ISFP reports, filing, and system backups (Local drives, Cloud, Teams, SharePoint, etc.)
• Lead in backing up data, reports, and systems so that they are retrievable for audits and future reporting /dissemination for the next seven years.
• Conduct regular field visits to monitor the implementation of school feeding and HGSF activities, analyses the situation and identify challenges and proactively respond on the spot and bring issues and recommendations to PISL and MBSSE
• Maintain a clear and complete paper trail for all the food commodity transactions from the reception point at the warehouse to the schools and finally to end users (children).
• Ensure that all food Commodity Reports from all the schools, including warehouses, are collected and filed properly.
• Prepare the final Food Commodity Reports for submission and ensure they are accurate and reliable.
• Collect, compile and analyze all the receipts and dispatches at the district warehouses.
• Maintain a clear accounting and documentation process for each food commodity type.
• Ensure data integrity. Prepare accurate and reliable statistical data as required by management
• Prepare Invoices of the food Commodity handled by Plan International and keep records of the cumulative value of Food commodities handled by Plan International monthly.
• Responsible for verifying physical inventory for all the warehouses to ensure that the food commodity book balances match the actual stock in the warehouses and demand explanation for any variances.
• Plan for spot checks in all warehouses to review the physical inventory, stacking, ledger books and stack cards.
• Be responsible for preparing distribution plans and ensuring the approved Distribution Plans are shared with the District Coordinator.
• Ensure accurate Purchase Requisitions are submitted on time and processed for

deliveries

Ensures that Plan International’s global policies for Safeguarding Children and Young People and Gender Equality and Inclusion are fully embedded in accordance with the principles and requirements of the policy including relevant Implementation Standards and Guidelines as applicable to their area of responsibility. This includes, but is not limited to, ensuring staff and associates are aware of and understand their responsibilities under these policies and Plan International’s Code of Conduct (CoC), their relevance to their area of work, and that concerns are reported and managed in accordance with the appropriate procedures

Technical expertise, skills and knowledge

Essential:

• B.A / BSC Degree in agriculture, nutrition, humanities, international relations, international aid, social work, development, economics and or related disciplines
• At least 5 years of work experience in humanitarian or development contexts, including but not limited to youth engagement, program development, donor negotiation, and/or business development
• At least two years’ experience in donor relations and/or managing partners
• Personal values, ethics, and attitudes that are in alignment with Plan International principles
