Job Title: Project Coordinator - Field Operations
Department: People & Culture
FLSA Status: Non - Exempt
Reports to: Director of People & Culture
Salary: Commensurate with experience & Benefits
JOB SUMMARY:
The Project Coordinator - Field Operations serves as a key connection between Kearney Electric's field employees, Project Managers, operational leadership, and the People & Culture team. This position coordinates service calls and field assignments, supports manpower planning, and helps ensure employees are aligned with project and service needs. The role requires strong communication, organization, attention to detail, and the ability to anticipate upcoming staffing needs while supporting the overall strategic goals of the company and the CORE VALUES. The Project Coordinator will foster the Core Values while building relationships across the office and field to align with the company's strategic vision and THREE COMMITMENTS.
ESSENTIAL FUNCTIONS:
- Coordinate and communicate daily service call assignments and field scheduling needs.
- Assist with aligning field employees to projects, service calls, and other work assignments based on operational needs and direction from Project Managers and operational leadership.
- Maintain accurate and current information regarding employee assignments, availability, project transitions, and upcoming manpower needs.
- Communicate assignment and scheduling changes promptly to affected employees, Project Managers, field leadership, and other appropriate team members.
- Work with Project Managers, Directors, and field leadership to understand current and upcoming manpower requirements and identify potential staffing gaps.
- Look ahead at project schedules and anticipated staffing needs to identify manpower shortages, excess capacity, or coverage concerns before they impact operations.
- Maintain manpower planning tools, schedules, reports, and other tracking information and provide timely updates to leadership.
- Maintain and support company manpower scheduling and forecasting tools used to track daily field assignments and projected workforce needs.
- Coordinate and maintain the service on-call schedule and related call-forwarding or coverage processes, as assigned.
- Provide field administrative support as needed, including assistance with timecard proofing, site-specific requirements, client documentation, parking or access coordination, and other project or service support needs or badging requests.
- Assist with field-related special projects, employee communications, and operational initiatives led by People & Culture or field leadership.
- Serve as a communication link between field employees, Project Managers, Directors, operational leadership, and the People & Culture team.
- Assist with resolving day-to-day scheduling conflicts, follow up on outstanding coordination items, and elevate issues requiring leadership involvement.
- Prepare and distribute schedules, manpower updates, reports, and other administrative information as needed.
- Assist Project Managers and Directors with administrative and coordination needs related to field operations.
- Maintain confidentiality when handling employee, project, and company information and perform additional duties or special projects as assigned.
JOB REQUIREMENTS:
- Strong organizational skills and exceptional attention to detail
- Strong verbal and written communication skills with the ability to communicate professionally with field employees, Project Managers, Directors, and company leadership
- Ability to manage multiple priorities and adjust quickly as operational needs change
- Strong follow-through, sense of urgency, and accountability
- Ability to anticipate manpower and scheduling needs and identify potential issues before they impact operations
- Sound judgment, problem-solving skills, and the ability to work independently while collaborating across departments
- Ability to maintain confidential employee and business information
- Proficiency with Microsoft Office and ability to learn company scheduling, HR, and operational systems
QUALIFICATIONS:
- High school diploma or equivalent required; college degree is not required.
- Previous experience in administrative support, project coordination, scheduling, construction, field operations, or a related environment preferred.
- Experience working in a fast-paced environment with changing priorities preferred.
- Proficient with Microsoft Office; experience with construction, scheduling, HR, or workforce management systems is a plus.
