We are looking for a highly organized, structured, and proactive Project Coordination Assistant to join our remote team.
This is a hands-on role for someone who is comfortable working with 📊 Excel/Google Sheets, reports, numbers, recurring tasks, and multiple ongoing topics at the same time.
The ideal person is someone who naturally keeps things organized, follows up without being reminded, notices when something doesn't look right, and makes sure tasks are completed rather than simply reported.
You will work closely with our stores, Shopcare, and internal team members to make sure that daily, weekly, and monthly operational processes are completed correctly and on time.
🚨 Strong Excel / Google Sheets proficiency is MANDATORY for this position.
You will work with several systems and should be comfortable learning new tools, including:
You do not need previous experience with every system. The ability and willingness to learn new systems quickly is important.
There are many daily, weekly, and monthly recurring tasks. You need to be the type of person who creates structure and makes sure nothing is forgotten.
If something is missing or a problem occurs, you don't simply report it. You contact the responsible person, follow up, and continue until the issue is actually resolved.
You should enjoy working with Excel, Google Sheets, KPIs, reports, inventory, orders, and operational data.
You should be able to look at a report and ask: "Does this make sense?" If something looks unusual, you investigate it rather than ignoring it.
Small mistakes, unusual numbers, missing information, and inconsistencies need to be noticed.
After onboarding and training, you should be able to manage your recurring responsibilities independently without needing daily reminders.
Several topics may come up at the same time. You need to understand what is urgent, what is important, and what can wait.
You will need to communicate with Shopcare, stores, and colleagues, ask questions, request corrections, and follow up when something has not been completed.
If a process has not been followed or something is incorrect, you should be comfortable raising the issue professionally and asking for it to be corrected.
Before forwarding a problem to someone else, you should first check the available information and try to understand what happened.
We use several tools and systems, so you should be comfortable learning new software and processes quickly.
After onboarding, we expect you to become the person who helps make sure that nothing falls through the cracks.
