👋 About the Role

We are looking for a highly organized, structured, and proactive Project Coordination Assistant to join our remote team.

This is a hands-on role for someone who is comfortable working with 📊 Excel/Google Sheets, reports, numbers, recurring tasks, and multiple ongoing topics at the same time.

The ideal person is someone who naturally keeps things organized, follows up without being reminded, notices when something doesn't look right, and makes sure tasks are completed rather than simply reported.

You will work closely with our stores, Shopcare, and internal team members to make sure that daily, weekly, and monthly operational processes are completed correctly and on time.

🛠️ Key Responsibilities

🏪 1. Store Operations & Daily Controls

• Monitor daily store-related tasks and reports.
• Check that required information, reports, and documentation are completed correctly.
• Review store data and identify missing information, unusual figures, discrepancies, or potential problems.
• Monitor cash differences, inventory information, orders, KPIs, and other store-related data.
• Follow up with stores or Shopcare when information is missing or a process has not been completed.
• Make sure operational issues are followed through until they are resolved.

📊 2. Reporting & Excel / Google Sheets

• Maintain and update operational spreadsheets and trackers.
• Prepare and check daily, weekly, and monthly reports.
• Work with KPIs, BI reports, inventory data, orders, cash differences, and store performance information.
• Compare data from different sources and identify inconsistencies.
• Keep spreadsheets accurate, clean, and well organized.
• Support the team with basic data analysis and reporting.

🚨 Strong Excel / Google Sheets proficiency is MANDATORY for this position.

📋 3. Project & Task Coordination

• Maintain task lists and recurring operational schedules.
• Track daily, weekly, and monthly recurring responsibilities.
• Make sure deadlines are not missed.
• Coordinate tasks between stores, Shopcare, and internal team members.
• Follow up on open topics until they are fully completed.
• Help organize projects and operational improvements.
• Keep Trello and other task-management systems up to date.

🔎 4. Problem Solving & Follow-Up

• Investigate issues before escalating them.
• Check available data and information to understand what happened.
• Identify the next action needed to resolve an issue.
• Contact the responsible person and follow up until the issue is closed.
• Challenge missing information, incorrect processes, or incomplete work when necessary.
• Escalate genuinely unresolved or high-priority problems to the appropriate person.

💻 5. Systems & Administration

You will work with several systems and should be comfortable learning new tools, including:

• 📈 BI/reporting tools

• 📹 Camera/security systems
• 🔧 Other internal operational tools

You do not need previous experience with every system. The ability and willingness to learn new systems quickly is important.

📊 Good with numbers and Excel

You should enjoy working with Excel, Google Sheets, KPIs, reports, inventory, orders, and operational data.

You should be able to look at a report and ask: "Does this make sense?" If something looks unusual, you investigate it rather than ignoring it.

🔍 Detail-oriented

Small mistakes, unusual numbers, missing information, and inconsistencies need to be noticed.

After onboarding and training, you should be able to manage your recurring responsibilities independently without needing daily reminders.

🎯 Able to prioritize

Several topics may come up at the same time. You need to understand what is urgent, what is important, and what can wait.

💬 Confident communication

You will need to communicate with Shopcare, stores, and colleagues, ask questions, request corrections, and follow up when something has not been completed.

💪 Not afraid to challenge something

If a process has not been followed or something is incorrect, you should be comfortable raising the issue professionally and asking for it to be corrected.

🧩 Problem-solving mindset

Before forwarding a problem to someone else, you should first check the available information and try to understand what happened.

💻 Comfortable learning different systems

We use several tools and systems, so you should be comfortable learning new software and processes quickly.
