Job Description

We are seeking an experienced PMO Analyst / Senior Project Coordinator to support the delivery of complex operational and technology initiatives within a large enterprise financial services environment. The successful candidate will partner closely with Operations SMEs, project managers, technology teams, and cross-functional stakeholders to coordinate project activities, maintain governance standards, and ensure projects remain organized, accurate, and executive-ready throughout the delivery lifecycle.

This role is ideal for a highly organized and proactive professional who excels in fast-paced environments, demonstrates exceptional attention to detail, and can independently manage competing priorities while supporting senior stakeholders and large-scale initiatives.

Location: Toronto, ON (Hybrid – First Canadian Place)
Contract Length: Until May 21, 2027
Hours: 9 AM–5 PM ET (subject to change)

Pay: T4: $50.6/hr / IC $58/hr CAD


RESPONSIBILITIES

  • Coordinate and schedule project meetings, workshops, stakeholder sessions, and governance forums across multiple teams and business units.
  • Prepare agendas, pre-reads, meeting materials, and supporting documentation in collaboration with project leadership and Operations SMEs.
  • Attend meetings, capture detailed minutes, document decisions, risks, dependencies, and action items, and ensure timely distribution and follow-up.
  • Maintain project plans, RAID logs, action trackers, status reports, and milestone schedules to support project execution and governance.
  • Review, proofread, and validate project deliverables, presentations, and reporting materials to ensure accuracy, consistency, and executive readiness.
  • Ensure project documentation aligns with PMO standards, governance requirements, templates, and formatting guidelines.
  • Track edits, incorporate stakeholder feedback, and maintain version control for key project artifacts and reporting deliverables.
  • Support issue, dependency, and risk management activities by coordinating updates, escalating blockers, and tracking remediation efforts.
  • Assist with preparation of executive-level reporting, dashboards, weekly updates, and steering committee materials.
  • Maintain organized repositories for project documentation using SharePoint, Teams, Confluence, or similar collaboration tools.
  • Coordinate onboarding activities, meeting logistics, and access management for project team members and stakeholders.
  • Support continuous improvement initiatives by identifying opportunities to streamline reporting, enhance workflows, and improve project coordination processes.
  • Provide day-to-day operational and administrative support to ensure smooth execution of project activities and timelines.


QUALIFICATIONS

  • 8+ years of experience in project coordination, PMO support, project administration, or related project delivery functions.
  • Experience supporting large enterprise initiatives within financial services, banking, operations, technology, or regulated environments.
  • Strong understanding of project delivery methodologies, governance frameworks, and PMO best practices.
  • Advanced proficiency with Microsoft Office Suite including Outlook, Word, Excel, and PowerPoint.
  • Hands-on experience using collaboration and project management tools such as Teams, SharePoint, MS Project, Planner, Jira, or Confluence.
  • Strong organizational, multitasking, and prioritization skills with the ability to manage multiple deliverables simultaneously.
  • Excellent written and verbal communication skills with strong stakeholder coordination capabilities.
  • Exceptional attention to detail with proven experience reviewing and quality-controlling executive-level deliverables and documentation.
  • Ability to work independently with minimal supervision while proactively anticipating project and stakeholder needs.
  • Strong analytical and problem-solving skills with a process improvement mindset.

Preferred

  • Experience supporting liquidity, treasury, operations, or enterprise transformation initiatives within banking or financial institutions.
  • Exposure to process improvement methodologies such as Lean, Six Sigma, or Kaizen.
  • Experience preparing executive and steering committee presentations and reporting materials.
  • Knowledge of PMO governance standards, reporting frameworks, and enterprise project controls.
  • Experience supporting large, cross-functional, or multi-project delivery environments.

Education

  • Post-secondary degree or diploma in Business, Project Management, Operations, Information Technology, or a related discipline.
