Job Description:

Education: Required:High school diploma, GED or higher level degree Preferred: Associate’s degree or higher level degree Licensure/Certification: Preferred: Project management certification Experience: Required: Five (5) years of experience in administrative/support capacity in business or healthcare Preferred: Experience in healthcare and resource management

Ability to adapt quickly to changing priorities and unexpected situations, Ability to communicate with patients, healthcare professionals, and staff to ensure clear and accurate exchange of information, Ability to maintain high degree of confidentiality, Ability to negotiate with vendors, conduct basic financial analysis and calculations, Ability to organize and coordinate multiple projects simultaneously, Ability to prioritize tasks and manage time efficiently to meet deadlines, Ability to use Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant software applications, Ability to work independently and as a team member, Knowledge of performance improvement tools, and the ability to use them effectively, Problem solving skills to identify issues and formulate effective solutions, Proficient with data entry, spreadsheet and collecting and disseminating data, Proficient in Microsoft Outlook calendar management for meeting scheduling, Written and verbal communication skills

Essential Responsibilities

  1. Demonstrates compliance with Code of Conduct and compliance policies, and takes action to resolve compliance questions or concerns and report suspected violations. 2. Efficiently manages, prioritizes and maintains schedules for multiple leaders and team members by planning, arranging and scheduling meetings, video conferences, teleconference, events, retreats, travel, etc. and ensuring space availability, catering services and necessary equipment is arranged. 3. Reviews, researches, and routes correspondence; drafts letters and documents; prepares requested reports by collecting and analyzing information, and initiating communications. 4. Provides administrative and office support, including handling telephone calls, responding to inquiries, distributing mail, maintaining filing system and contact data bases, maintaining appointment calendars and coordinating meetings and preparing appropriate materials. 5. Collaborates with leadership to complete and/or maintain projects. 6. Creates reports to improve visualizing, interpreting, and analyzing data, if applicable. 7. Assists in the coordination of staff schedules and maintains schedule for use of the Administration/Education Conference rooms, if applicable. 8. Transcribes accurate and comprehensive committee minutes, if applicable. 9. Prepares and processes invoices, check requests, expense reports and other bills; keeps accurate and up to date records. 10. Maintains supplies for office, copy room, conference rooms, and physician lounge. Check stock to determine inventory levels, place and expedite orders and verify receipt of supplies. 11. Provides technical assistance whenever necessary before and during video conferencing, presentation and make necessary arrangements for additional assistance if needed from technical support. 12. Ensures operation of all office equipment and electronic devices; follow trouble shooting instructions, call for repairs, create work order requests. 13. Performs other duties as assigned.
