APM Terminals Barcelona operates the Muelle Sur Container Terminal at the Port of Barcelona, with an annual throughput capacity of 1,560,000 TEU. Following the extension of the terminal’s concession agreement until 2036, APM Terminals is progressing a multi-year investment programme focused on infrastructure and container-handling equipment. The programme includes civil and electrical engineering works delivered within a busy, continuously operating port environment.

We are looking for a Project Coordinator to provide structured administrative and document-control support to this programme. This is a junior opportunity for someone who enjoys organising information, maintaining accurate records, following up on actions and helping different stakeholders meet project deadlines.

  • Build practical experience in project administration, document control and information management.
  • Work with project, engineering, contracts, interface and construction stakeholders.
  • Develop your ability to manage document workflows, registers, submissions and approvals.
  • Contribute to a complex, multi-year infrastructure programme in an operational terminal environment.

Key Responsibilities

  • Maintain correspondence, submission, document, action, commitment, permit and approval registers.
  • Receive, record, distribute and file incoming and outgoing project correspondence.
  • Support the preparation and administrative coordination of document submission packages.
  • Check documents for completeness, correct metadata and version control before submission or archiving.
  • Track reviews, comments, approvals, actions and response deadlines, following up with responsible stakeholders.
  • Update reporting records, issue registers, distribution lists and regulatory reporting calendars.
  • Store documentation in the approved electronic document management system and help retrieve records for reviews or audits.

What We Are Looking For

  • Continuous improvement mindset: we are looking for someone who brings a thoughtful improvement mindset—curious about how work gets done and motivated to make meaningful, sustainable improvements over time.
  • A bachelor’s degree in Business Administration, Information Management, Project Management, Engineering, Construction Management or a related discipline.
  • One to two years of experience in project administration, document control, coordination or information management.
  • Strong organisational skills, attention to detail and the ability to manage several documents, actions and deadlines at the same time.
  • Confidence using structured registers, trackers, document repositories and approval workflows; experience with PMWeb or a similar EDMS is valued.
  • Strong written and spoken Spanish and English, with the ability to communicate clearly with technical and non-technical colleagues.
