Job Summary

We are seeking a detail-oriented and proactive Project Coordinator to join our Digital Marketing team. In this role, you will help keep marketing projects organized, on schedule, and moving forward by coordinating tasks, maintaining project documentation, following up with stakeholders, and ensuring deadlines are met. You'll work closely with the Digital Marketing Operations Manager and Digital Marketing Project Manager to support initiatives across web, email marketing, content, paid advertising, SEO, creative, analytics, and other digital marketing efforts. This position is ideal for someone who enjoys organization, problem-solving, and keeping multiple projects running smoothly in a fast-paced environment. You'll gain hands-on experience working across a wide variety of digital marketing initiatives while collaborating with designers, developers, copywriters, analysts, and other cross-functional teams.

Duties and Responsibilities

  • Collaborate with the Digital Marketing Operations Manager and Digital Marketing Project Manager to coordinate marketing projects from planning through completion.
  • Manage project timelines, milestones, dependencies, and deliverables within monday.com to ensure projects remain on schedule.
  • Track project progress, identify bottlenecks, and proactively follow up with team members to keep work moving forward.
  • Serve as a central point of contact for project communications between the marketing team and cross-functional departments, including Operations, Compliance, IT, Clinical, and Customer Support.
  • Schedule project meetings, prepare agendas, document meeting notes, and distribute action items with clear ownership and deadlines.
  • Maintain accurate project documentation, including project briefs, timelines, status updates, standard operating procedures (SOPs), and process documentation.
  • Assist with prioritizing incoming marketing requests and ensuring projects are assigned to the appropriate team members.
  • Conduct research to support campaign planning, vendor evaluations, process improvements, and marketing initiatives.
  • Help identify project risks, resource constraints, or scheduling conflicts, escalating issues when appropriate.
  • Monitor project status and prepare reports that provide visibility into timelines, workload, and overall project health.
  • Support quality assurance by confirming project requirements have been completed before deliverables are finalized or launched.
  • Assist with organizing digital assets, project files, and documentation to maintain consistency across the marketing team.
  • Contribute ideas for improving workflows, project management processes, and team efficiency.

Required Qualifications

  • Experience coordinating projects, managing timelines, or supporting project management in a marketing, creative, or digital environment.
  • Strong organizational skills with the ability to manage multiple projects and competing priorities simultaneously.
  • Proficiency with Google Workspace (Docs, Sheets, Slides, Drive, Calendar).
  • Excellent written and verbal communication skills.
  • Strong attention to detail and commitment to producing accurate, high-quality work.
  • Ability to work independently while collaborating effectively across multiple teams.
  • Strong problem-solving skills with the ability to anticipate issues and recommend solutions.
  • Ability to adapt to changing priorities in a fast-paced environment.
  • Professionalism and discretion when handling confidential information.
  • Genuine interest in digital marketing, operations, and continuous process improvement.

Education and Experience Requirements

  • Bachelor's degree in Marketing, Communications, Business Administration, or a related field.
  • 1–3 years of experience in project coordination, project management, marketing operations, or a related role.

Preferred Qualifications

  • Certification in project coordination or project management (e.g., CAPM) is a plus.
  • Previous experience in healthcare, pharmacy, or another regulated industry is preferred.
  • Experience using project management software, with monday.com experience preferred.
