Job Description

Project Planning & Coordination

  • Assist in the maintenance of project plans, schedules, timelines, and budgets.
  • Coordinate project tasks and activities to ensure alignment with established plans and milestones.
  • Track project deliverables and monitor progress against key performance indicators.
  • Support resource planning and project scheduling activities.
  • Assist Project Managers with project forecasting and status reporting.

Project Monitoring & Reporting

  • Monitor project performance and gather project metrics to support reporting requirements.
  • Escalate project risks, issues, and roadblocks as appropriate.
  • Maintain visibility into project timelines, dependencies, and action items.

Documentation & Governance

  • Maintain project documentation, records, and repositories.
  • Ensure project documentation follows established standards and version control practices.
  • Support project governance activities and compliance requirements.
  • Assist in preparing materials for project reviews, audits, and stakeholder meetings.

Communication & Stakeholder Engagement

  • Coordinate effective communication across project teams and stakeholders.
  • Attend project meetings.
  • Assist with meeting agenda creation, document meeting minutes, and track follow-up actions.
  • Act as a liaison between project teams, business partners and vendors.
  • Support stakeholder engagement and change management activities.

Vendor & Procurement Support

  • Assist with procurement-related activities as needed.
  • Coordinate with vendors and suppliers to support project deliverables.
  • Help monitor vendor performance and contract-related activities.
  • Maintain procurement and vendor documentation.

Quality & Continuous Improvement

  • Support quality assurance activities to ensure project deliverables meet established standards.
  • Assist with compliance and regulatory requirements where applicable.
  • Identify opportunities to improve project processes, tools, and methodologies.
  • Contribute to organizational project management best practices.

Required Qualifications

Education

  • Bachelor's degree in Business Administration, Project Management, Information Technology, Engineering, or a related field preferred.
  • Equivalent combination of education and relevant work experience may be considered.

Experience

  • 2-4 years of experience supporting projects in a Project Coordinator, Project Administrator, or similar role.
  • Experience working in cross-functional project environments with exposure to project management frameworks and project lifecycle management.
  • Associate's degree or equivalent industry experience required.

Technical Knowledge & Skills

  • Proficiency with project management tools and software such as:
  • Microsoft Project
  • Service Now
  • Oracle Primavera (P6) familiarity is a bonus
  • Knowledge of project planning, scheduling, and budgeting practices.
  • Familiarity with project management Waterfall methodology.
  • Understanding of project controls principles.
  • Experience maintaining project documentation and applying version control practices.
  • Ability to gather, analyze, and interpret project data and performance metrics.
  • Understanding of procurement processes and vendor management principles.
  • Familiarity with industry-specific tools and systems relevant to the supported project environment.
