The Role

As an important member of the Design and Delivery Team the Project Coordinator (PC) will be responsible for assisting the project delivery team in overseeing all aspects of a project ranging from accurately providing project health updates to ensuring project details are appropriately met or exceeded. Attention to detail is paramount, as the PC provides checks and balance review of all financial tasks (PO creation, budget adjustments, invoice submittal and reconciliation, etc), ensuring the project budget is maintained and accurately reflected in all reports. The PC will work closely with Project Controls, supporting the Delivery Team on all projects throughout the entire end to end project lifecycle, from initiation through closeout.

Key Responsibilities:

  • Directly responsible for supporting a construction project management team to deliver challenging projects.
  • Directly execute all financial and administrative aspects of all assigned projects throughout the globe.
  • Support the Project Manager throughout the entire process from beginning to closeout of all associated projects ensuring accurate Project Appropriation Requests (PARs), budget and scope approvals, prompt issuance of meeting minutes, and final closeout packages are obtained and tracked along with all required reports and as-built documents.
  • Anticipate and identify issues and propose practical solutions in a proactive and timely manner.
  • Maintain and organize all project documentation including contracts, purchase requisitions, change orders, budgets, schedules, pay requests and invoices within Kahua. Review and ensure accuracy of all documentation.
  • Lead the purchase and change orders process along with invoice processing, including verification of pay applications for completeness; project status information; contract routing and tracking
  • Lead the coordination of and vender management / set-up, and background investigation process.
  • Closely align with internal colleagues and stakeholders globally across Facilities an Operations, Engineering, Real Estate Technology, Security, Leasing and Transactions, Finance and Controls and the business group.
  • Develop and manage scope, schedule and budget for small, single vendor projects and/or small furniture reconfiguration / simple remodel projects.
  • Work with Regional Director to ensure project scope meets Fidelity business requirements.
  • Create, control, and manage the project schedule. This includes incorporating dates and times for decisions, identifying and driving design deliverables, procurement of materials and subcontracts, lead times for fabrication, and field installation.
  • Partner with Project Controls team to ensure that the prescribed and high-quality financial control measures are implemented and maintained throughout the life of the project.
  • Perform additional responsibilities as assigned.

  • 2-3 Years of Experience working in the design or construction related industry (i.e., architect, general contractor, developer, MEP engineering firm, etc.)
  • Bachelor’s degree in construction management or architecture and/or a certification in construction management preferred

Working Conditions:

  • Work is sometimes performed outside of normal business hours. Additionally, urgent response issues often require a 24-hour on-call commitment as needed.

Fidelity’s Onsite Working Model

Fidelity is transitioning to a full-time onsite working model through a phased rollout across regions and roles. Currently, some roles and locations require 100% onsite presence, while others require less. Onsite expectations are likely to evolve as the rollout continues. This transition does not apply to fully remote roles.

The base salary range for this position is $48,000-91,000 USD per year.

Placement in the range will vary based on job responsibilities and scope, geographic location, candidate’s relevant experience, and other factors.

Base salary is only part of the total compensation package. Depending on the position and eligibility requirements, the offer package may also include bonus or other variable compensation.
