Job Description
The Project Coordinator will provide day-to-day operational and coordination support to the Senior Project Manager for CARE’s Global Supply Chain Transformation team. This role is critical to maintaining structure, traceability, and execution discipline across Finance, Supply Chain, Change, and external implementation partners.
The Project Coordinator will own the mechanics of project execution—tracking RAID items, coordinating meetings, managing artifacts, and ensuring follow-through—so that project leadership can focus on decisions, risk resolution, and stakeholder alignment.
RESPONSIBILITIES
Project Coordination & Execution Support
- Coordinate cross-functional meetings (Finance, Procurement, Inventory, Change, Huron)
- Aid in ensuring that the projects and initiatives under your charge remain aligned with the objectives, strategies and results.
- Develop agendas, manage materials, track attendance, and document outputs
- Maintain detailed meeting notes with clear separation of decisions, open decisions, risks, issues, and action items
- Ensure that the project(s) and initiatives under their responsibility produce the information required to the PIIR.
- Participate in the design and implementation of monitoring, evaluation and learning tools.
- Ensure that the lessons learned from the reviews and evaluations of the projects under their responsibility are incorporated into the following semiannual or annual plans.
Contribute to the documentation process of projects and initiatives (fact sheet, story-telling, capacity statement and case studies, among others)
RAID & Decision Tracking (Core Accountability)
- Own and maintain RAID logs including Owner, Status, Waiting On (CARE vs Huron), and Evidence
- Proactively escalate aging or high-risk items to the Senior Project Manager
- Maintain centralized repositories for RAID logs, decisions, process maps, SIT artifacts, and meeting records
- Ensure documentation reflects actual agreements and decisions
- Support creation of executive-ready summaries without losing detail
Stakeholder & Partner Coordination
- Participate in tables, networks and coalitions, providing strategic and technical elements that contribute to the design and implementation of policies and strategies at the regional and national level.
- Act as a coordination bridge between CARE teams and external partners
- Manage framework cooperation agreements and letters of understanding with governing entities of government and local organizations.
- Support senior management in establishing and maintaining strategic relationships with partners national and local, donors and external cooperation.
- Track responsibilities and ensure follow-through on meeting commitments
- Strategically facilitate the work of partner organizations, supporting, in accordance with the needs of joint work, processes of technical assistance, training, evaluation, research, learning and political advocacy.
- Design exit plans for the transfer of knowledge, process control and resources of the company(s).initiative(s) in your charge towards local partner organizations.
Reporting & Leadership Support
- Prepare weekly and ad-hoc leadership updates
- Support SteerCo, senior leadership, and cross-functional readouts
- Ensure traceability between leadership updates and source evidence
