This position is responsible for supporting the coordination and execution of projects by providing administrative, logistical, and financial support to Project/Operation Managers and field teams. The Project Coordinator ensures accurate project setup, documentation, billing, and data management while assisting in tracking project progress, resources, and costs.

Working closely with Project/Operation Managers, clients, vendors, and field personnel, this role serves as a central point of communication to help drive timely project execution and maintain alignment with contract requirements and customer expectations. Responsibilities include coordinating procurement activities, managing project records, supporting invoicing and financial tracking, and ensuring the timely flow of information across all stakeholders to contribute to overall project efficiency and success.

Responsibilities

Project Planning & Execution

  • Assist Project Managers in developing and maintaining project plans, schedules, budgets, scope documents, and execution strategies.
  • Create and maintain project job profiles, including scope, pricing, timelines, estimated costs, and contract requirements to support the field executions.
  • Track project start/end dates, monitor progress, and maintain accurate job data for active projects and backlog.
  • Support project reporting by compiling status updates, drafting client reports, and communications between operations and customers.
  • Review completed job files to ensure all documentation, labor, and expenses are accurate and properly recorded.

Resource & Workforce Management

  • Coordinate scheduling and deployment of field personnel, subcontractors, and vendors to support project execution.
  • Facilitate procurement of project materials, services, and equipment through coordination with procurement and vendors.
  • Ensure timely delivery and mobilization of equipment and resources to job sites, including call-off and returns as needed.
  • Support workforce efficiency by tracking resource utilization and assisting managers with workload planning.

Customer & Stakeholder Management

  • Coordinate with clients to obtain purchase orders, billing instructions, and approvals for change orders or scope adjustments.
  • Maintain clear, consistent communication between project teams, clients, vendors, and subcontractors throughout the project lifecycle.
  • Organize meetings and conference calls to support stakeholder alignment and project coordination.

Safety, Compliance & Quality Assurance

  • Support and promote a strong safety culture by reinforcing compliance with company and client safety requirements.
  • Assist in coordinating safety documentation, training records, and compliance tracking.
  • Review field reports, documentation, and job files to ensure completeness and adherence to quality and reporting standards.
  • Collaborate with clients and field teams to ensure project execution aligns with contractual, regulatory, and safety expectations.
  • Perform Job Behavior Observations (JBO) regularly to provide coaching for both safety and technical aspects to the field technicians.

Operational Coordination & Logistics

  • Coordinate logistics for equipment, materials, rentals, and transportation to ensure timely and cost-effective project support.
  • Manage the full lifecycle of rented assets, including scheduling, tracking, and return of vehicles, tools, and test equipment.
  • Oversee and track purchase orders, invoices, and vendor coordination to support operational needs.
  • Maintain and update databases, ensuring accurate data entry for project, financial, and operational records.
  • Compile and organize billing documentation, ensuring all required support is in place for accurate and timely invoicing.

Financial & Commercial Support

  • Track project costs, including labor, equipment, and subcontractor expenses, to support financial performance visibility.
  • Support forecast and financial reporting by maintaining accurate cost and revenue data.
  • Assist with contract review to understand billing requirements, financial obligations, and reporting expectations.

Qualifications

  • Bachelor’s degree from an accredited university OR an associate degree with 2+ years of relevant experience in the electric power and communications industry
  • Relevant experience includes contract development and management for small- to medium-scale projects
  • Knowledge and experience with project management processes and tools required
  • Proficiency with the MS Office suite of software
  • Experience in project management controls preferred
  • Exceptional organizational skills and detail oriented
  • Strong writing and editing skills are desired.
  • Available and willing for up to 10% travel as necessary.
