Key Responsibilities

Project Coordination & Governance

  • Support Project Managers in the planning and execution of implementation projects.
  • Maintain project plans, milestone trackers, RAID logs, action registers, and status reports.
  • Schedule and coordinate project meetings, workshops, steering committees, and governance forums.
  • Track deliverables, dependencies, and follow-up actions through to completion.
  • Prepare meeting minutes and distribute action items to stakeholders.

Stakeholder Communication

  • Coordinate communications across business teams, technology teams, vendors, and third-party implementation partners.
  • Follow up on outstanding actions, risks, issues, and decisions.
  • Assist in preparing project updates, dashboards, and executive reporting packs.
  • Maintain stakeholder distribution lists and communication records.

Documentation & Project Controls

  • Maintain project repositories and ensure documentation is organized, current, and easy to access.
  • Manage project artifacts including requirements documents, design documents, testing evidence, training materials, and sign-off records.
  • Ensure appropriate document version control, audit trails, and governance discipline.

Requirements & Business Support

  • Coordinate requirements gathering sessions and workshops.
  • Assist in documenting business requirements, process flows, decisions, and meeting outcomes.
  • Support business and technology teams in tracking requirement decisions and approvals.
  • Testing & UAT Coordination

    • Coordinate SIT, UAT, and regression testing activities.
    • Track test execution progress, defects, retesting, and sign-offs.
    • Maintain testing schedules and ensure timely stakeholder participation.
    • Consolidate testing metrics and status updates for project reporting.

    Training & Change Management

    • Coordinate end-user training schedules and stakeholder communications.
    • Support preparation and distribution of training materials and user guides.
    • Track training completion and business readiness activities.

    Cutover & Go-Live Support

    • Support cutover planning activities and readiness assessments.
    • Coordinate deployment tasks and Go-Live activities across teams.
    • Track open actions during hypercare and post-production support periods.
    • Maintain deployment and operational readiness documentation.

    Vendor Coordination

    • Coordinate activities with software vendors, implementation partners, and consultants.
    • Monitor and track vendor deliverables against agreed timelines.
    • Escalate delays, dependencies, or issues to the Project Manager when required.

Key Requirements
  • 2 to 5 years of project coordination, PMO, business operations, or project administration experience.
  • Experience supporting implementation, integration, migration, transformation, or system rollout projects.
  • Strong organizational, coordination, and stakeholder follow-up skills.
  • Excellent written and verbal communication skills.
  • Fluent English communication skills.
  • Experience coordinating global stakeholders across multiple regions and time zones.
  • Strong knowledge of Microsoft Office Suite, including Excel, PowerPoint, Word, Teams, and SharePoint.
  • Ability to manage multiple priorities in a fast-paced project environment.
  • Attention to detail with strong documentation and reporting capabilities.

Education & Certifications

Required

  • Bachelor's Degree in Business Administration, Commerce, Finance, Accounting, Information Technology, or a related discipline.

Preferred

  • CAPM, PRINCE2 Foundation, Waterfall & Agile Fundamentals, or equivalent project management certification.
