The Project Coordinator is responsible for supporting project and operations teams through organization, scheduling, documentation management, permit coordination, customer communication, and overall administrative project support.
This position serves as a key operational support role within the office and helps ensure projects are properly organized, documented, and progressing efficiently from start to finish.
This role is ideal for someone who is highly organized, detail-oriented, confident in communication, and comfortable operating in a fast-paced construction or skilled trades environment.
Essential Responsibilities
Review incoming projects and organize project documentation and workflows
Coordinate project-related administrative activities to support Project Managers and operations teams
Process and track project submittals, closeout packages, warranty documentation, and other required project records
Assist with permit coordination and documentation tracking
Coordinate with CAD/design teams to ensure drawings and supporting documents are prepared and distributed appropriately
Maintain accurate project files, schedules, tracking logs, and billing documentation
Follow up with customers, vendors, field personnel, and internal departments regarding project updates and outstanding items
Assist with scheduling labor, inspections, service work, and project activities
Attend project review meetings and help track action items and project updates
Support overall office operations and help maintain organization across active projects
Qualifications
Prior experience in project coordination, construction administration, service operations, or skilled trades environments preferred
Strong organizational skills with the ability to manage multiple projects and priorities simultaneously
Excellent written and verbal communication skills
Ability to communicate confidently and professionally with internal teams, customers, and vendors
Strong attention to detail and follow-through
Proficient with Microsoft Office Suite including Outlook, Excel, and Word
Experience with permitting processes, construction documentation, or project workflows is a plus
Self-motivated, dependable, and able to work effectively in a fast-paced office environment
Working Conditions
Primarily office-based environment in Nashville, TN
Standard business hours with flexibility based on operational needs
Physical Requirements
Prolonged periods sitting at a desk and working on a computer
Ability to occasionally lift office materials or supplies up to 15 pounds
