Primary Duties and Responsibilities

Real Estate, Planning, Design & Construction

We are seeking a Furniture, Fixtures & Equipment Project Coordinator to join our Real Estate, Planning, Design & Construction team, a professional who brings technical fluency in design and construction with the organizational discipline to drive projects from concept through closeout in one of healthcare's most complex and regulated environments.

In this role, you will independently manage small capital projects end-to-end while supporting Senior Project Managers with furniture and equipment on priority initiatives exceeding $1M. You will serve as a key liaison between contracted vendors, consultants, and UCLA Health clients, coordinating design, construction, FF&E procurement, regulatory compliance, and move planning across a dynamic portfolio of concurrent projects.

In this role, you will:

  • Maintain and develop the PDC Resource Library, manage vendor relationships, vet new products, and support the department's Standardization Program
  • Manage the full FF&E program, coordinating with clients, vendors, and manufacturers through procurement, delivery, installation, and punch list resolution
  • Lead small capital projects through all phases, from scoping and design through plan check, bidding, construction, and fit-up/move-in, with full ownership of budgets, schedules, and client communication
  • Navigate plan check and back-check processes through Campus Building Official and HCAI (OSHPD) approval, and manage all associated documentation and inspector visits
  • Oversee construction activities including contractor schedules, pay applications, and utility and fire alarm shutdowns to maintain an operational facility
  • Ensure all project closeout documentation, including warranties, record drawings, and O&M manuals, meets contract requirements and is transferred to the appropriate entity

Salary Range: $37.60 – $78.35 per hour.

Target Salary Range: $39.00 - $45.00 per hour


Job Qualifications

Required

  • Bachelor's degree in Architecture, Engineering, Construction Management, or a related field, or equivalent experience
  • 1 to 2 years of professional experience in design, construction, or FF&E
  • Working knowledge of healthcare construction regulations including HCAI (OSHPD), California Building Code, Title 22, and ADA/accessibility standards
  • Strong ability to manage multiple concurrent projects with competing priorities and deadlines
  • Excellent written, verbal, and interpersonal communication skills, and the ability to collaborate effectively with clinical, administrative, and vendor stakeholders

Preferred

  • Experience managing projects within a healthcare or academic medical center environment
  • Familiarity with UCLA standards, UCOP Capital Programs processes, and Job Order Contracting
  • Experience with FF&E procurement and move coordination in a large institutional setting
  • Proficiency in AutoCAD and/or Revit, and intermediate skills in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Project) and Bluebeam
